Please ensure that you have this information available well in advance of the assessment date.”Description of JobThe purpose of this position is to support the administration of grants and services of this work unit by providing direct support to the Executive Director and Operations Lead.

Maintains calendar and manages the daily schedule for Executive Director

Makes arrangements for and schedules meetings for Executive Director and Operations Lead

Completes all appropriate CDE forms to ensure timelines are met for Executive Director and Operations Lead requesting various arrangements to be made including forms for approval and reimbursement for in-state travel and out-of-state travel.

Organizes and prepares regular, internal meetings, such as unit monthly meetings, including arranging and securing meeting spaces, sending and tracking invites, and preparing agendas.

Records maintain and disseminate meetings notes and documentation in support of weekly unit leadership team meetings

Maintains records systems and electronic communication

Assist other offices and program consultants for meetings as time permits

Assists with and supports program activities such as application, monitoring and technical assistance tasks

Manages check out system for shared unit resources such as portable wifi hotspot

Maintains program, budget, human resources, and other files for Operations Lead and Executive Director

Orders supplies for Executive Director and Operations Lead and ensures supply closet is adequately stocked

Assists the Operations Lead in estimating and tracking operations and travel budgets and payroll expenses

Provide supports for project and task management for Operations Lead and Executive Director

Maintains and updates unit organizational documents such as phone lists, org charts, and seating assignments

Ensures office equipment, such as copiers and printers, are operational and fully stocked with supplies.

Troubleshoot and problem solves when office equipment malfunctions.

Develops and maintains databases and spreadsheets

Assist other offices and program consultants with administrative program supports as time permits
