Aviation Dispatcher/Scheduler

Job Description

Join Jack Link's as ourAviation Dispatcher/Scheduler to be the hub of flight logistics for our aviation team. This role is based in the North Woods of Wisconsin in Hayward, WI, and reports to our Director of Aviation. In this role, you will support our flight crews and passengers to ensure a superior, smooth customer service experience.

Specifically, you will:

  • Receive, analyze and plan trip requests and requirements
  • Communicate with all external corporate departments as well as internal department resources (maintenance, pilots, aircraft detailing staff)
  • Identify and research industry best practices
  • Coordinate trip schedules between multiple departments to take maximum advantage of individual flight requests
  • Locate alternate aircraft and contract pilots when scheduling conflicts occur
  • Prepare all flight itineraries, trip packs and expense reports
  • Identify and address any scheduling conflicts or abnormal operations involvingaircraft or crew
  • Manage the details of all flights including but not limited to arranging FBO services, aircraft refueling, parking, hangar space, aircraft slots, hotels, catering and provide a report of these items to the flight crew
  • When required, coordinate international flight details with outside vendors toinclude: overflight and landing permits, crew visas, medical considerations, aircraft insurance requirements, aircraft importation, and security for the aircraft, passengers and crew
  • Schedule flights in compliance with FAA regulations and company policies regardingflight and crew rest/duty time limitations
  • Update trip information and convey changes to the Department and passengers
  • Monitor all department controlled aircraft while in flight including being on call duringoff hours (night and weekend) for flight tracking and reporting. Initiate emergency response plan, as applicable.
  • Develop best practices for scheduling process
  • Identify alternative vendors, negotiate terms and coordinate with legal departmenttofinalize appropriate terms and conditions
  • Problem solve and identify solutions for issues as they arise
  • Record all flight details, including passengers, business purpose, hours flown,
  • Prepare summary reports of flights for the FAA and company records as assigned by the Director of Aviation and Chief Pilot
  • Coordinate with the Chief Pilot on pilot training schedules
  • Coordinate with the Director of Maintenance on aircraft maintenance status andschedules
  • Ensure that vendor invoices match services rendered and approve payments accordingly
  • Accommodate requests for other additional administrative duties supporting theDirector of Aviation

Qualifications

Requirements:

  • Associates degree or related job experience
  • Minimum 2-3 years office support experience (Preferred candidates will have previous flight scheduling experience, but we will train the right person!)
  • Demonstrated experience as performing tasks in a self-motivated matter and managing tasks across various teams
  • Strong computer literacy required, including use of the Microsoft office software suite
  • Expert skills in both written and verbal communication skills
  • Flexibility to answer phone calls and work outside of normal business hours toaccommodatelast minute trip requests and provide flight support
  • Strongteamwork focus and enjoys establishing strong interpersonal relationships
  • Willingness to acquire an in-depth knowledge of the aerospace industry
  • Demonstrated experience supporting a team in a fast-paced, high-energy environment
  • Strong organizational skills and the ability to prioritize and pay close attention to detail while handling multiple tasks and deadlines
