  • JOB SUMMARY

    The secretary works under the supervision of their Clinical Supervisor and Rehabilitation Director. The Department Secretary/Receptionist is the key person in establishing the first impression with our customers, in meeting the department mission of providing the best customer service possible. He/she performs all secretarial/ responsibilities required to support and coordinate functions efficiently to meet customer expectations. This includes answering phones, communicating with providers, therapists and patients, scheduling patients, registering patients, faxing and scanning documents, inputting data, filing medical records, and completing insurance authorizations and claims. Customers include patients, physicians, physician office staff, industry, business, and all CCH departments and staff.

  • PRIMARY JOB DUTIES

    • Above all else, provides excellent customer service.

    • Continuously demonstrates professional and courteous phone etiquette.

    • Adheres to all guidelines for covering secretary/receptionist responsibilities.

    • Schedules or reschedules patients with an emphasis on therapist productivity, patient satisfaction and equipment/space/room availability.

    • Coordinates scheduling between all work groups within the Rehabilitation Services.

    • Ensures all necessary paperwork is sent to, and received back if needed, referring providers, insurance carriers and any others for record completion.

    • Supports the charge flow process by effectively and efficiently managing the medical record flow between CCMH Medical Records, CCMH Patient Accounting and individual clinicians.

    • Completes insurance prior authorizations and assists with claim information if needed.

    • Records monthly statistics for department as requested.

    • Demonstrates positive interpersonal relations.

    • Meets all core competencies and mandatory education and completes timely.

    • Demonstrates efficient time management and prioritization skills.

    • Practices fiscal responsibility and accountability.

    • Works required work hours and periodic weekend coverage to meet department needs.

    • Maintains a clean and safe working environment conducive to high quality health care.

    • Adheres to CCMH policies and procedures.

    • Must be free from governmental sanctions involving health care and/or financial practices.

    • Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.

    • Performs other duties as assigned.

  • JOB SPECIFICATIONS

    • Education: High school diploma or GED required.

    • Licensure: None.

    • Certifications required: See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy.

    • Experience: computer skills and history in customer service.

    • Essential Technical/Motor Skills: Finger dexterity and eye/hand coordination necessary for computer skills. Prefer experience in Word and Excel.

    • Interpersonal Skills: Excellent telephone skills.

    • Essential Physical Requirements: Physical demands require sitting for extended periods of time.

    • Essential Mental Abilities: Patient Registration and Scheduling Systems

    • Essential Sensory Requirements: Ability to visually complete tasks and monitor patients and visitors.

    • Exposure to Hazards: OSHA CATEGORY II. Tasks that involve a potential exposure to blood, body fluids or tissues. Identified job duties do not include a reasonable anticipation for the potential contact with blood or contaminated body fluid but circumstances may occur which may result in the potential for exposure. Use of appropriate protective measures is required for employee (s) engaged in potential exposure situations.
