Position Summary:

The Dispatcher/Customer Service Representative is critical to the success of our team by providing and promoting exemplary customer service during every interaction with both internal and external customers. The Dispatcher/Customer Service Representative’s main responsibility is for dispatching Veit’s roll-off fleet in a cost-effective and efficient manner by maintaining knowledge of truck location and communicating with drivers regarding load types and disposal facilities. This position is cross trained to provide customer service assistance as needed or requested by answering incoming customer calls, entering data in computer software for new orders and pickups, and providing administrative support in a small office environment.

Essential Duties and Responsibilities:

Coordinates the dispatch of roll-off trucks for container delivery and pick-up at customer work sites and hauls waste to proper disposal facilities.

Answers incoming calls and accurately collects and enters all necessary customer data into computer system in order for dispatch to schedule driver pick-up and delivery.

Maintains knowledge of all DOT regulations and Veit policies and procedures applicable to the role.

Provides high quality customer service to current and potential clients during every interaction.

Monitors customer service email inbox. Replies to customer inquiries and order requests.

Requests permits as needed per contractor’s request for box placement.

Utilizes TRUX software to run box inventory reports on a weekly basis.

Calls current customers to schedule pick-up time or continued rental of disposal box.

Verifies drivers’ activities in TRUX software.

Assists in dispersing incoming and outgoing mail daily to appropriate personnel.

Assists in the completion of new hire orientation as needed.

Processes credit card and electronic check payments for customers.

Completes Accounts Receivable functions. Accepts invoice payments and ensures account collections as requested by supervisor.

Answers customers billing inquiries and send invoices and/or statements as requested.

Provides administrative support to Sales & Operations Manager.

Keeps Supervisor informed of known actions, written or verbal, which may affect the ability to successfully perform assignments or adversely affect company operations.

Other projects or duties as assigned by Supervisor.

Knowledge, Skills and Abilities:

High School Diploma or GED.

Two years related customer service experience.

Strong administrative skills are required.

Demonstrated computer proficiency (MS Office – Word, Excel and Outlook).

Ability to learn TRUX software.

Knowledge of the construction and/or waste industry preferred but not required.

Ability to work onsite in a small office environment.

Excellent oral and written communication skills required. Must clearly communicate directions and information. Speaks effectively before groups as well as individuals. Must have good interpersonal skills.

Attention to detail and ability to multitask is critical.

Ability to work with all levels of management, employees, external vendors, and other business associates.

Ability to calculate percentages for discounts, and interest. Must also be able to work with weight measurements, volume, and distances within the Rochester area.

Other:

Must be able to pass a pre-employment drug test and background check for employment.

Requires 8-hour workdays Monday thru Friday with shift ending at 5:00 pm. Occasional weekends and overtime may be required.
