Our Mission:

The Executive Assistant will be key to helping us achieve our mission. That mission is to help online business owners and entrepreneurs master Facebook and Instagram advertising to grow their reach and revenue. We do this through our paid offerings (group coaching and courses) and a free podcast.

We will know we are successful in our mission when:

We are the standard for social advertising training and

100% of our clients who have worked with us for 6 months or more have at least broken even on their ad spend.

We are constantly striving to provide the best possible experience for our clients, and we’ve got exciting new projects in the worksso many that we need a hand to get them all done.

And that’s where you come in!

Role:

The Executive Assistant will be the essential support for our CEO, protecting her time, energy, and efforts by creating ease, expansion, and efficiency in processes like communication organization, lead acquisition, and sales.

Responsibilities:

● Organizing emails.

● Answering messages on social.

● Creating a system for addressing important emails and what needs additional support.

● Creating efficiencies in managing and storing emails and addressing important items.

● Managing the CEO’s calendar.

● Scheduling appointments.

● Proofing the calendar weekly (verifying appointments, verify time, checking links,etc.).

● Protecting the calendar and creating efficiencies and processes around how to schedule and why to ensure the CEO is spending his/her best use of time.

● Creating submission forms for speaking opportunities.

● Reviewing speaking opportunities (podcasts, meetings, stages) and which ones are appropriate to pursue.

● Documenting CEO’s business preferences.

● Spellchecking marketing materials (e.g. newsletter content, ad copy).

● Supporting the sales process by reviewing client applications, preparing acceptance emails, and answering questions from leads in the pipeline.

● Keeping all SOPs related to our program, coaching strategies and best practices up to date.

● Mastering the operations and marketing tools used in the business.

● Attending calls with CEO, taking notes, and determining action items from call ● Looking for areas of opportunity to make the CEOs life easier and take things off his/ her plate.

● Reviewing CEO time studies, suggesting efficiencies, and identifying items to take over from CEO.

● Acting as a sounding board for the CEO.

Results:

● The CEO feels supported—she knows when to be where, what she needs to do in order to be successful, and is never overscheduled.

● The team has a consistent and predictable experience with the CEO, and the CEO with the team.

● Dramatically decrease calendar cancellations that are caused by process or follow up issues.

● The CEO is able to focus on strategic efforts, rather than tactical.

● Make suggestions then work with the team to implement corrections to gaps in the department.

● Your primary responsibility will be to show up 100% and be fully present and handling every aspect of the CEOs needs.

Requirements:

● At least two years of experience as an administrative assistant.

● High-level communication skills.

● Emotionally self-regulate even during times of pressure and stress to be present for the team.

● Able to consistently understand the intent and vision of the CEO, work as a sounding board for the CEO.

● Ability to set goals and develop achievable timelines to hit them.

● Highly developed self-awareness and leadership skills.

● You will work to decrease the pressure for the CEO and be her gatekeeper.

● You don’t have a problem handling personal tasks.

● Highly organized and efficient.

● Detail-oriented.

● Computer proficiency.

● Delivers well ahead of deadlines

In addition to being a detailed person, you must follow systems and processes. In fact, just to prove that you are detail oriented and can follow procedures, when you apply for this position you must include “I have found my people” in the subject line. Salary range: $35,000-$45,000
