Mid-size architectural firm seeking skilled administrative assistant. The position involves office management with room to expand as marketing coordinator. Responsibilities include, but are not limited to the following:
Assist President in daily routine including email management, calendar and scheduling
Maintain office electronic and paper filing system via Excel and Microsoft Office
Track employee timesheets for general office and project specific tracking
Maintain invoice tracking
Manage office inventory, procuring printing equipment and IT services
Search architectural and engineering bid opportunities on State and Federal websites
Prepare and develop marketing material for bid opportunities
Fulfill Request for Proposal requirements for bid submittals
Assemble and create project sheets via Adobe Photoshop and Adobe InDesign
Maintain professional licenses and subscriptions
Draft AIA Contracts
Direct office phone interaction and arrange meetings
Attend meetings and prepare meeting minutes
Position is typically full time but part-time may be acceptable during the current Covid conditions.
