A little about us.

Building One is a construction consulting firm that provides technical expertise to architects, owners, investors, and contractors. We are primarily based in Denver, CO, but we have an office in Boston, MA, and we are working to create a new office in the Southern California region. We are a small company in which all our employees wear many hats. Our work can be highly technical, and our employees regularly engage in research to improve our knowledge in a variety of construction and design subjects. A little about you.

The Office Coordinator position requires significant attention to detail in addition to the ability to track multiple tasks simultaneously. The candidate must be resourceful and a self-motivated starter. A strong ability to operate common office software (Microsoft Suite) is required. The position involves proofreading and editing reports, so the ideal candidate will possess excellent written communication skills and be comfortable integrating graphics into marketing materials or reports. Previous experience in the construction or design/engineering industries will be beneficial. The primary role of this position is to ensure that general office functions and interoffice communication are maintained in proper order to facilitate the success of project focused employees. Additionally, the position includes a strong role in marketing, proposal work and coordination of contracts and billing. The role requires regular interaction with the Owner, Denver Regional Manager, and our accounting and technology specialists.

The Office Coordinator will report directly to the Denver Regional Manager. The position involves teamwork with all other staff to support the successful completion of billable work. Regular tasks include work on proposals (including interface with clients during proposal creation and initial project set up), proofreading reports before delivery, receipt of mail and making bank deposits, tracking work and proposal status for all projects, and general office organization including equipment and supply inventory and upkeep, software license tracking, professional membership renewals, and participation in team event planning. Execution of these tasks could vary depending on the company’s use of a physical or virtual office.

After gaining understanding of the company’s work and mastering the basic office needs, it is anticipated that the position responsibilities will evolve to also include more creative and self-directed tasks. In some cases, the Office Coordinator may be expected to make significant progress toward loosely defined outcomes with limited direction. Additional tasks could include generation of marketing materials and assisting in the development or implementation of systems to improve office efficiency. The Office Coordinator will not direct the work of any other staff, and no employees will report to this position.

Minimum Position Requirements:

-High level of proficiency in Microsoft Suite programs using either a Mac or PC interface. Programs typically used include Word, Excel, and Outlook.

-Proficient with either BlueBeam or Adobe Acrobat Pro.

-Eagerness to improve skills and knowledge over a wide range of topics, and open to learning new skills through execution of required tasks using both formal and informal learning methods.

-Strong written communication skills.

-Ability to communicate effectively to clients and coworkers in both verbal and written formats.

-Ability to proofread and edit documents in multiple writing styles.

-Excellent organizational skills.

-Ability to track multiple tasks on various timelines simultaneously.

-Associates Degree with focus on business administration, business operations, construction management, or similar field.

Preferred Candidate Attributes:

-Experience working in a similar capacity in a construction or design/engineering firm.

-Interest and ability in graphic layout or page design.

-Good understanding of computer technology. This is not an IT support position, but the candidate should have a reasonable understanding and comfort with computer interface. For example, the person that has been the “go to person” when something on a coworker’s computer is not working correctly.

-Bachelor’s Degree with focus on business administration, business operations, or similar field.

Compensation dependent upon candidate’s initial abilities and experience.
