The key objective of this position is to provide support to the company in the areas of general office business functions.

General Responsibilities:

New hire and onboarding paperwork

Answer phone and transfer calls

Employee file organization

Employee benefit coordination

Collection of hours for payroll on a timely manner.

Input payables in the system

Permits & credit apps and project organization

Credit card reconciliation

Schedule locates

Other administrative Responsibilities

Responsible for all office supply orders on a weekly basis, relationships with vendors and invoices. Performs various clerical tasks as needed (file papers, schedule meetings, organize supplies, etc.) Ensure office is clean at all times

Supervises the maintenance of office equipment, including copier, fax machine, recycle bins etc. Manages the reception area to ensure effective telephone communications to maintain a professional image.

Maintains office files, project files etc. Helps with meeting coordination and ordering of food as needed.

Suggest changes to office task workflow in order to improve efficiency.

Drive to job sites, meeting and government entities to collect permits, checks etc as needed.

Prepare project packages

Schedule inspection, traffic control and permit requests

Ability to deal with vendors and attention to detail when reviewing invoices.

Perform duties for other companies owned by owners

Ability to maintain field personnel inform at all times on important activities. Ability to handle stress and communication with vendors, field personnel and upper management.

Other duties as assigned.

Qualifications:

Bilingual-required English & Spanish preferred but not required

5+ years of related experience.

Construction office experience preferred

Proven office management, administrative or assistance experience. Knowledge of office management responsibilities, systems and procedures.

Excellent time management skills and ability to multi-task and prioritize work.

Proven attention to detail and problem-solving skills- required

Excellent written and verbal communication skills. Strong organizational and planning skills. Proficient in MS Office.
