I. Purpose of the Job
Under general supervision from the administrator, the receptionist performs a wide variety of office, religious school and preschool support duties, as needed. Main responsibilities: presenting a friendly and welcoming human response to phone callers and visitors; referring inquiries to the correct parties promptly; handling incoming and outgoing mail in accordance with our internal controls guidelines; assisting with facilities upkeep.
II. Essential Functions and Responsibilities
Be present and available at the front desk to answer phones and greet visitors in a pleasant manner
Keep abreast of all Temple activities in order to provide accurate information.
Provide basic membership information.
Take messages accurately; distribute to appropriate parties.
Pick up & distribute mail daily; maintain postage meter; prepare bulk mailings.
Maintain kitchen inventory; keep kitchen orderly.
Set up Main Sanctuary and Social Hall for Shabbat & Torah study.
Maintain Kiddush supplies
Monitor oneg preparation: assign dates to oneg providers; prepare Temple onegs.
Order office supplies as needed; keep supply closet in order
Make maintenance calls on office equipment
Send yahrzeit reminders monthly.
Send thank you notes to donors; transmit information to publications coordinator for bulletin
Change computer back up tapes daily.
Maintain a check register in Excel
Track & thank tzedakah
III. Other Duties and Responsibilities
Assist with facilities maintenance; complete weekly walkthrough; call for repairs as needed
Request bids and estimates.
Assist with calendar updates
Assist with mail merges and other tasks requiring computer skills
Run errands as requested
Assist with gift shop sales
Track RSVPs for Temple functions.
Prepare stationery using Risograph.

Refill postage meter and order office supplies as needed
Order books, ritual items and other items as directed
VII. Extent of Public Contact
Daily in person and via phone.
VIII. Physical Demands
Considerable physical activity is required on a daily basis, including lifting, walking, using a dolly, etc.
IX. Working Conditions and Environment
Working hours: 9-4 Monday – Thursday, 9-3 Fridays.
Responsible for running errands, doing grocery shopping as needed, taking bulk mail to post office, etc.
Also required to attend selected Temple events and assist as needed.
