Administrative assistant duties and responsibilities include providing administrative support to ensure efficient operation of the school. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures.

Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

3-5 years of Childcare and/or Education work experience preferred.

Administrative Assistant

Perform any typing, photocopying and other office tasks as needed.

Greet parents, visitors, students and staff.

Receive incoming calls and direct to the proper person.

Handle and record parental calls and requests in an efficient and business-like manner.

Inform parent via-text and/or email regarding Program events and/or information.

Manage and organize the lunch process.

Distribute the lunch and snacks to the classrooms.

Ensure that the front area is well stocked with the necessary materials.

Ensure the visitors log, sign-in/sign-out sheets, daily lunch receipts, CCCBC and excursion binders are filed and organized.

Distribute and sort mail.

Schedule tours for interested new parents.

Send confirmation emails and/or telephone calls to prospective parents for tours.

Collect and compile necessary documents/reports accurately and in a timely manner.

Distribute thank you notes and donation forms to parents/volunteers.

Inform and reminder teachers regarding upcoming Extra -Curricular Activities/Events/ Meetings etc.

Manage and organize all Extra-Curricular Activities.

Manage and organize MyKidz Day App.

Update and monitor the Program’s Website and Facebook Page.

Personalize the reception area to illustrate components of the Program.

Assist the director in editing/modifying the Staff Handbook and Parents Handbook.

Manage and update all documents.

Order material and supplies in a cost-effective manner as directed.

Coordinate facility, site & equipment repair and maintenance as directed by the Director.

Responsible for compiling and organizing information for use by the Director in the completion of reports and special projects.

Prepare a master calendar two times a year (September – May and June –August).

Prepare monthly newsletter and all communications via Constant Contact.

Maintain and manage all contact information in Constant Contact and Remind Me.

Maintain and track the admission process.

Manage and maintain all students records (Hard copies and Headmaster).

Manage monthly roster of students and classroom placement.

Assist the Director with the implementation of effective and efficient office management systems.

Assist and set-up all meetings.

Assist in classrooms and carpool.

Attend the yearly necessary classes and trainings.

Supervise staff in the absence of the Director.

Perform any other job duties deemed necessary, per the program.
