Personal Assistant / Bookkeeper

My wife and I are business owners for a group of companies. We're now looking to add a bookkeeper to help manage company consolidation as well as act as a personal assistant. Responsibilities include but not limited to:
Personal / Executive Assistant role:
Coordinate meetings, manage schedules across multiple calendars, make appointments, arrange travel, screen and delegate incoming calls, and provide other general assistance as required.
Perform potentially confidential and complex administrative duties involving Excel, Word and PowerPoint including, typing letters, creating/updating spreadsheets, and compiling presentations.
Exhibit strong attention to detail, ability to adapt to daily schedules and routines, and a focus on efficiency without sacrificing quality.
Assist with administrative functions of various portfolio companies, including email responses, coordinating NDAs, following up on open items, etc.
Manage the scheduling, coordination, and administration of housing, vehicles, etc. which is available to clients
Provide general support for various departments including but not limited to: Executive Leadership, Business Development, Accounting and Advisory
Assist with HR onboarding and coordination, intern program coordination, and hosting of interviews.
Assist leadership with personal requirements of running errands/tasks
Perform other job-related duties as assigned
In the capacity as a bookkeeper, the scope of responsibilities include but are not limited to, for our company as well as for other clients:
Maintaining accuracy and timeliness of key financial statements
Preparing financial statements
Transactional Data Entry
Accounts payables (vendor bills and payments) and related vendor communication
Accounts receivables (customer invoices and collections) and related collection efforts
Bank & credit card account reconciliation
Journal entries
Account reconciliation (including inter-company)
Cost accounting
Project Accounting
Payroll processing
Recording and reconciling payroll transactions
Fixed Asset management
Accruals
Prepayments
General Ledger
Budget and Cash Flow preparation
Perform monthly, quarterly, and year-end closings
Compliance with US GAAP, International Accounting Standards (IAS), and; IFRS
Other accounting functions as required
Interface with client's tax preparers, auditors, lawyers, etc as required
Onsite visits and work at client site
Familiarity with the following software would be helpful:
Xero
Quickbooks
NetSuite
Bill.com
Expensify
Requirements:
Bachelor’s degree or equivalent related experience required
Valid driver’s license required
