Job Description

The

Investment Services Associate provides high-level production, sales, and administrative supportto CFS Registered Financial Advisors by assisting with investment members, maintaining a FINRA compliantfiling system and providing daily support to ensure administrative services are delivered in an efficient andtimely manner.

Principal AccountabilitiesProduction/Sales Support

  • Support the overall business and production goals of the CFS/SPF Registered Financial Advisor by promptly following up and managing investment referrals, setting appointments, answering member questions, describing investment products and services, as well as performing other administrative tasks as requested.
  • Provide members with specific product information or research information pertaining to securities transactions the member wishes to perform, or is considering performing, through CFS/SPF.
  • Process new account paperwork and enter member information into forms and or database systems.
  • Advise members on the status of orders or report trade prices.
  • Process member funds and securities, including electronic fund transfers or journals from a member’s self-advisory account.
  • Communicate with members in a positive manner both in person and/or by telephone.
  • Practice high quality member service standards in all interactions with members, prospective members, and employees in other departments within the credit union.
  • Demonstrate an understanding that the credit union makes financial planning and investments through a broker/deal relationship.
  • Proactively seek opportunities to refer additional products or services to benefit the members and meet their needs.

Administrative Support

  • Provide administrative support by assisting in the preparation of reports, presentations, writing, editing, proof reading correspondence, making follow up phone calls, etc.
  • Provide general education and knowledge by leading workshop presentations. Assist the Financial Advisor with complex workshop subject matter.
  • Proactively assist with the Financial Advisor’s calendars by maintaining awareness of activities/appointments and communicating any necessary changes to assist them in effectively managing their time. Anticipate challenges and plan accordingly.
  • Assist with the coordination of projects for the Financial Advisor and provide administrative support as needed.
  • Coordinate travel and conference arrangements in a timely manner in order to take full advantage of early bird specials and travel discounts. Track travel budgets as requested.
  • Coordinate member meetings and other planning events including preparation and distribution of information, scheduling facilities, and organizing catering needs as assigned.
  • Maintain a FINRA compliant filing system with all records that are generated when stocks, bonds, and other types of investments are traded.

Vendor Management

  • Maintain regular communication with vendors to learn product feature directions, report and seek resolution of product defects and submit and monitor development of requested feature enhancements.
  • Coordinate and assist with vendor processes and methods of approving vendors.
  • Monitor the performance of third-party service providers to ensure quality and service levels are maintained. Immediately report any situations where service and support levels are not within standards.
  • Work closely with vendors to maintain good relationships, effectively address business requirements and resolve outstanding issues.

Qualifications

Knowledge, Skills and Abilities

  • Associate’s degree required. Bachelor’s degree in related field is preferred.
  • Minimum two years’ member service and/or sales experience in a financial institution is required.
  • Previous business development is preferred.
  • Series 7, 63 and 66 licenses are preferred or the ability to obtain the licenses within six months of employment is required.
  • Washington State Life Insurance license preferred or the ability to obtain the license within six months of employment is required.
  • Strong knowledge of financial products and services.
  • Ability to promote and cross-sell credit union and investment products and services.
  • A passion for people and a commitment to service.
  • Excellent organizational, time management and administrative skills required.
  • Ability to adapt to changes and prioritize and manage competing demands.
  • Proficient knowledge of MS Office programs including Outlook, Word and Excel.
  • Previous experience in keyboarding/PC and 10-key calculator.
  • Strong written and verbal communication skills including excellent presentation skills and ability to write routine reports and correspondence.
  • Bilingual abilities, including ability to ready, write and speak Spanish fluently is preferred at some locations.
  • Strong interpersonal skills required, including maintaining positive relationships and excellent member service skills. Demonstrated ability to deepen relationships with members.
  • Ability to work effectively and collaboratively in a diverse work group, as well as independently with minimal supervision.
  • Ability to adapt to changes and prioritize and manage competing demands.
  • Ability to read, analyze and interpret data and understand and communicate complex and diverse information, and effectively present information and respond to questions from groups of managers, clients, and the general public.
  • Ability to solve practical problems and deal with a variety of situations exercising flexibility and sound judgment in a fast-paced environment.
  • Ability to make practical and timely decisions and explain reasoning for decisions.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Strong work ethic required, including the ability to complete duties on time, consistently arrive at work on time as scheduled, and ability to work flexible hours and overtime as needed.

Physical Abilities

  • Must be able to regularly talk, hear, and operate a computer keyboard and mouse.
  • Occasionally lift, pull/push, and carry up to 10 pounds.

Work Environment

  • Exposure to constant or intermittent sounds at a low or moderate level consistent with an office setting.
  • Exposure to high-stress, fast-paced, deadline-oriented environment.
