Legal Secretary – Full Time Position (Monterey)

Monterey Law Firm seeks a full-time Legal Secretary with experience in Real Estate, Corporate and Civil Litigation. Each applicant must have three or more years’ experience.

Duties and Responsibilities:

Provide administrative support to one or more attorneys

Perform initial screening of clients

Proofread letters and legal documents for correct grammar, spelling, punctuation, format and revise them accordingly;

Review documents to ensure they are in proper format and contain all necessary references, exhibits and appendices;

Compose and mail / distribute routine letters and emails in accordance with company policies and guidelines;

Prepare / revise documents from verbal or written instructions, notes, rough drafts or other materials;

Finalize and circulate documents for signature by the appropriate parties

Assist with preparation and filing of various corporate and real estate forms and documents with the appropriate agencies;

Schedule and coordinate meetings, calendar tasks for completion and notify interested parties;

Upload and maintain files on the company’s document management system;

Establish and maintain physical files, records and other information as needed;

Maintains database by organizing, summarizing, and storing documents

Assist in preparation of closing binders and minute books

Enter attorney time

Assist with day-to-day activities and perform other relevant duties as may be.

Requirements

3 years minimum with a law firm.

Strong commitment to quality client services.

Strong computer skills (Word, Outlook and Adobe)

Excellent communication skills and ability to organize and prioritize your own work to meet the deadlines of the cases are required. Attention to detail with speed and accuracy is important. Applicant needs to be able to effectively and efficiently manage multiple projects and competing deadlines. Looking for a person who has the ability to adapt to changing priorities and remain flexible to meet client and attorney needs. Able to take initiative and anticipate what needs to be done. Can understand and follow specific, detailed instructions.
