Job Title: Administrative AssistantLocation: Lihue, KauaiSchedule: Core hours are Monday through Friday 7:45am – 4:30pm. Compensation: Based on experience with benefits packageSummary: As an Administrative Assistant with the First to Work – Vocational Rehabilitation (VR) and Temporary Assistance for Needy Families (TANF) program, you will assist in meeting contracted requirements and program goals. You’ll also be responsible for administrative and business details. You’ll be directly working with and supporting the Program Supervisors and Employment Counselors with ensuring compliance, confidentiality, and tracking of participants. We’re looking for someone who has excellent communication and organization skills and who is comfortable working within guidelines and written direction with minimal supervision. Being familiar with verbal de-escalation techniques and customer service is a must!

Essential Duties:

Supports and advises visitors and clients as they come in for Intake and Orientation (IO) sessions or assessments.

Follows up with DHS staff for clients placed into sessions by ensuring that letters are signed and returned to clients.

Keeps tickler system on “AS active” clients to ensure proper conciliation process for IO and Assessment if they are a no-show.

Collects Pre-Intake statistics and narratives for monthly reports, assists with various DHS and GIH statistical reports when requested, and submits bi-weekly pool analysis reports to Program Coordinator/Manager.

Assists program supervisor with coordinating training for staff – including DHS and HANA training.

Assists program supervisor with contracts related to new referrals, partnering agencies, and network of support.

Communicates with other agencies and persons to ensure a smooth flow of communication takes place.

Assists program supervisor with completing monthly File Audits. Follows up with staff to ensure that any discrepancies are corrected in a timely manner.

Assists Employment Counselors in completing and tracking Earned Income Disregard, Exit, and Retention Bonuses.Minimum Qualifications:

High School diploma or general education degree (GED) and

One to two years related experience and/or training; or

Equivalent combination of education and experience

Must type 50 words per minute, good public relations attitude, good communication skills, and ability to communicate with State and National Offices

Computer knowledge with Microsoft Word, Excel, PowerPoint, and Access required

Must have a valid Hawaii Driver’s License and access to an insured vehicleAll applicants must currently reside in the state of Hawaii and be available for an immediate in-person interview.
