TopCap Partners is looking for a smart individual to join us as Personal Assistant and Office Manager at our Southampton, New York office.

Your role is mission critical to support the company in grasping abundant business opportunities continuing the fast past growth of the firm. You will support the CEO here and the Managing Directors at our European offices with fluid communication, scheduling, tasking, and gently minding and pushing the firm’s agenda.

The more formal job description will include:

Handling of the day-to-day communication.

Managing the team and CEO’s calendars.

Scheduling appointments and creating travel arrangements.

Creating marketing documents and proposals including PowerPoint presentations.

Creating and maintaining client and internal expense reports and invoices.

Creating and maintaining client profiles and compliance documentation.

Creating and maintaining Excel spreadsheets for business and regulatory purposes.

Input, maintenance and updates to the contact database in Microsoft Outlook.

The ideal candidate will have:

An academic degree and a technical computer background.

Experience as Executive Assistant and/or Office Manager with excellent communication and computer skills.

Proficiency in the Microsoft Office Suite of products.

Proficiency in Microsoft Outlook.

Diligence in attention to detail and follow-through.

The ability and desire to work proficiently in a team.

Strong personal organizational skills and initiative (intrinsic motivation).

Financial education/knowledge is not necessary but would be helpful.

Foreign language skills/ knowledge is not necessary, but would be helpful.

You will join a very dynamic international and professional environment. While the office is small, the pace is quick. Compensation is competitive and adequate to the incumbent's skills.
