The Spring Mills Lutheran Parish - Part-time Administrative Assistant

The Parish Administrative Assistant shall be:

A person of both deep and yet growing faith in Jesus Christ, and who believes in and supports the mission of the Spring Mills Lutheran Parish to “Welcome All, Tell the Story, and Grow as a Disciple” of our Lord.

A person who is willing to become a real team member of the Spring Mills Lutheran Parish staff, who is eager to work for the good of the Parish and who will pray with and for other staff team members.

The Parish Administrative Assistant will be able to:

Compose weekly Parish Bulletins and Announcements with instruction and supervision from the pastor; proofread material and correct errors; maintain a database of liturgies that will be used in parish worship services. Examples: Christmas Eve, Lent, Easter, Sunday worship services, baptism, welcoming new members and installation of council members.

Compile copyright usage for worship liturgy and hymns using the copyright services the Joint Council has approved; manage the copyright subscriptions annually.

Prepare and compile the musicians’ worship folders weekly.

Prepare and maintain annual calendars for both congregations.

Maintain parish databases for all members of New Hope and St. John’s Lutheran congregations: including Membership Directories and Registers for both congregations.

Maintain/update Congregational and Parish constitutions, by-laws and other policies.

Prepare/copy annual reports for distribution to the congregations as well as the annual ELCA report which is processed online.

Maintain congregational websites with updates.

Possess ability to handle ever-changing circumstances within the church office and church community.

Possess ability to multi-task and be a self-starter; identify tasks that need to be completed, requiring little or no supervision.

Possess ability to effectively and appropriately communicate (orally and written) with all other staff team members, Pastor, Church Council members, volunteers, church members, and visitors to the church office.

Compose and transcribe correspondence and forms as required by the pastor and Church Councils.

Subject to established procedures and by the direction of the Pastor, order office supplies and contact technicians for office equipment and emergency repairs to other physical facilities.

Respond to and screen telephone calls in a pleasant “first contact” manner.

Respond to general correspondence for the church office as directed.

Keep all information confidential in a professional and discrete manner.

Pick up, sort, distribute incoming mail according to guidelines established by the Pastor

Perform other related administrative duties as assigned by the Pastor or Church Council.

Supervision: Pastor and Joint Council through the Staff Support Ministry Team

Hours: 10-12 hours/weekly on average

Salary: $15-$18 per hour based on experience

Applicant Qualifications:

Proficiency in: general office practices; PC operating systems w/Microsoft Office Suite including Publisher; email systems; copier; proper English usage, spelling and punctuation.

Ability to: perform assigned duties with a minimum of supervision; be flexible and adaptable to identify problems and implement or recommend solutions; use tact and discretion; interact effectively with Pastor, Joint Council, Parish members and the general public; learn and adapt to new technology as it relates to office practices and procedures; maintain confidentiality of information; plan, organize and prioritize work; pay attention to detail; use computer related software, photocopy machine and other standard office equipment.
