FLSA status: Exempt

Hours: Full-Time Regular

Department: Property Management

Location: Corporate Office – Portland, Oregon

Summary

The Green Cities Company is seeking a Systems & Operations Administrator to support the day-to-day operations of our Property Management team. Reporting to the Director of Property Management, this role will be responsible for setting up and streamlining our existing systems and processes to ensure smooth operations at our many properties across the United States. The ideal candidate is operationally minded and detail-oriented, with experience conducting the administrative functions within software systems such as Yardi, implementing new systems, and managing the transfer of data across multiple platforms.

Responsibilities

In this role, you will be expected to:

Set-up all systems related to property acquisitions.

Transfer files and systems related to property dispositions.

Manage marketing integrations in partnership with the Property Marketing Manager.

Ensure accuracy of property and resident information across all systems and software.

Evaluate and recommend improvements to existing systems and processes.

Evaluate potential new systems and functionality and negotiate vendor contracts.

Manage implementation processes for new systems.

Configure interface vendors with various systems.

Manage document transfers for all property acquisitions and dispositions.

Ensure smooth property acquisitions and dispositions through effective transition process management.

Assist the Property Management team with ESG reporting, resident surveys, and insurance claims.

Troubleshoot system and user issues.

Perform additional duties as assigned.

Essential Knowledge, Skills, and Abilities

The right candidate will possess the following:

2+ years’ experience in a systems or operations role, ideally in the real estate or property management industries, and a Bachelor’s degree in business, real estate, or other related field; OR an equivalent combination of education and experience

Previous experience administering and managing systems such as Yardi Voyager and other add on’s such as RentCafe Suite and Payscan.

Strong analytical and problem-solving skills

Outstanding attention to detail

Excellent interpersonal, verbal, and written communication skills, with a customer service mindset

Proficiency in MS Office Suite, particularly Microsoft excel.

Bonus Qualifications

Experience at a certified B-Corp, nonprofit, or other organization with social impact reporting requirements

Experience serving as an administrator for other property management systems such as On-Site and MRI

Experience in process analysis

Proven success in leading process improvement initiatives

Physical Requirements

Prolonged periods sitting at a desk and working on a computer.

Job Location

Ideally this role will be permanently onsite at our office in Portland, Oregon; However, remote candidates will be considered.
