General Admin to join us in Santa Clara Office. This position will work directly with local leaders and project team members and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional and capable of handling multiple projects/assignments simultaneously and prioritizing tasks to meet aggressive deadlines. Primary Responsibilities:
  • Provide strong administrative support to the Lab/Project Team
    • Schedule meetings and appointments and accurately record meeting minutes upon request;
    • Coordinate communications for local project teams including interfacing with cross-regional teams;
    • Plan and manage team building budgets and arrange office events;
    • Manage local teams' business trips including travel visa applications, keeping track of vacation status, supporting reimbursement and generating monthly reports;
    • Support local teams with procurement and payment related projects;
    • Generate and track paperwork that are submitted to the management team for approval;
    • Handle and maintain highly confidential and sensitive information;
    • Assist in arranging interview schedules for candidates within the Lab;
    • Support Lab/team with special project if assigned.
  • Fixed asset management
    • Support Device excessive asset disposal project such as asset categorization, asset value lookup, asset inventory, asset disposal process etc.
    • Conduct fixed asset daily works; ensures procedures regarding fixed asset management being met according to guidelines and policies;
    • Perform acceptance upon fixed asset checklist and provide accurate asset info for booking;
    • Collect monthly purchase plan and budget data; and submit for review/approval;
    • Perform annual asset count, ensure project complete on time and report the result of annual asset count to senior management;
    • Track PO, clean up overdue PO, close PO and adjust/return PO balance to match payment amount;
    • Perform other related duties as requested
  • Project/Operations
    • Perform project-based headcount and expense budget management and cost control. Optimize processes to ensure resources are effectively allocated to projects including funding on business outsourcing, leased workers and third-party cooperation. Collaborate with the FP&A team on program and project performance analysis.
    • Work as a team with Legal/Trade Compliance, HRBP, Staffing and Procurement to develop and implement process and guideline on contingent workforce management, including overseeing headcount and expense budget, preparing export control review, drafting training materials, etc.
    • Provide project management training to the project managers and technical project leads on strategic and business planning, project evaluation, management reporting and business processes.
    • Enhance project management tools and set standards to help project managers oversee headcount and expense budget, prepare export control review, track schedule and delivery so as to optimize business achievements.
    • In collaboration with Lab and IT Management, develop BU/Lab project dashboard report to demonstrate project performance in align with manpower, financial and operational goals.
    • Communicate proactively with headquarters and global offices to ensure stakeholder requirements are met and project initiatives are effectively evaluated.
    • Partner with platform and business groups on various cross functional activities in contribution to business efficiency and project success.
    • In the circumstance of organizational restructure, worked with project managers to drive initiatives of training and team building for the newly formed groups.

    Position Qualifications and Skills:
  • Bachelor's degree is required
  • 2-5 years of experience as an administrative professional or project management is desired
  • Proficient in Microsoft Office, with an ability to become familiar with the company specific programs and software
  • Knowledgeable in accounting related to expense management
  • Outstanding interpersonal, communication and influencing skills in order to provide high level service to the Business Units
  • Demonstrated ability in handling highly confidential, sensitive or proprietary information including written correspondence
  • Excellent attention to details with strong organization and planning skills
  • Work effectively and efficiently as part of a team
  • Strong project management and problem-solving skills and able to multi-task
