Our client, a non-profit organization in the East Bay Area is looking for an experienced Executive Assistant to support their busy CEO on a full-time basis. Ideal candidates will have experience supporting C-level individuals and have prior experience working at a non-profit organization. The executive assistant is a leader and the ambassador for the CEO. Successful individuals will have strong interpersonal skills and exercise sensitivity in handling confidential information. The executive assistant will positively represent the interests of the agency and commit to its mission and values, treating challenges as opportunities to display great poise and diplomacy in all situations. RESPONSIBILITIES:
- Interface daily with the CEO to support responsibilities, and to be made aware of critical needs across work areas.
- Schedules and organizes meetings, travel, conferences and activities of the CEO.
- Establishes, develops and maintains filing system for the CEO. Daily retrieves information from files when needed for critical and confidential meetings.
- Attends and manages agency meetings and sets up meetings ensuring technological needs are in place and working effectively. Proficient utilizing Zoom account.
- Drafts written responses or replies by phone or e-mail for CEO. Responds to regularly occurring requests for information.
- Acts as a liaison for the CEO across the agency including CFO and program directors.
- Act as liaison with donors, city council, federal, state and local officials, community leaders and advocacy groups.
- Provide logistics and support for all Board meetings, its committees, and E-Team meetings.
- Works with teams for ad-hoc and ongoing projects. Acts as project manager for the CEO, which will include developing presentations, disseminating information, and coordinating logistics.
- Assists and performs oversight of two separate board entities- Health Resources and Services Administration (HRSA) and Commission on Accreditation of Rehabilitation Facilities. Prepares agendas, take and transcribe minutes, resolutions, and tracks/report items with completeness and accuracy.
- Supports maintenance of the department finances. Activities include producing check requests, preparing travel reimbursement, and documenting corporate credit card expenses.
- Utilizes common sense and good judgement in decision making, understanding that form follows function; outcomes are based on function and purpose of the intended goal.
- Other duties as assigned
- Bachelor's degree in Business Administration or closely related discipline
- Non-profit experience is highly desired
- Experience working with Board of Directors, creating agendas and taking/maintaining meeting minutes preferred
- Superior communication skills; strong ability to develop written correspondences and interact with individuals at every level of the organization.
- Strong interpersonal skills and the ability to work with ease alongside C-Suite high achievers in an exciting, fast-paced, culturally diverse environment.
- Mastery level ability producing written correspondence, reports, and presentations utilizing MS Office Suite: Word, Excel, PowerPoint, Outlook, and database management.
- Excellent Communicator acting as a hub for the CEOs office, delivering directions from the top down to the rest of the organization as well as the reverse. The ability to troubleshoot critical needs, and have a think-on-your-feet disposition.
- Ability to diffuse difficult situations and assist clients, patients, consumers, and colleagues in a fair and equitable manner.
- Superior organizational skills, be detailed oriented with an incredible talent to follow through on assignments in a timely manner ensuring deadlines are met.
- Ability to work diplomatically and collaboratively across the organization and in the community to advance critical initiatives.
- Flexible disposition with ability to perform a variety of tasks with frequent interruptions; be poised under stress and willing to change priorities without advance notice.
- May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.
- Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.
- Must be able to bend at the knees and waist frequently
- Must be able to repetitively use a telephone and a computer mouse and keyboard.
