Duties

Summary

This position reports to Chief of Nutrition and Food Services. NFS service line is located within Patient Care Service (ADPCS). Position performs duties to assist one individual, and in some cases the subordinate staff of that individual, by performing general office work auxiliary to the work of the organization. Incumbent assists with ADPCS service line projects as needed.

Responsibilities

Duties include, but may not be limited to the following:

  • Utilizes office automation systems to use several types of software for various office needs.
  • Submits computer access, physical key requests, and sponsors employees for new and reissuance of PIV cards.
  • Receives and reviews all incoming mail/email, routes to appropriate staff to handle personally or responds directly to mail.
  • Discreetly screens nature of calls to determine those that should be referred to supervisor, dietitian, or can be diverted to other contacts.
  • Reminds supervisor of appointments and provides pertinent information or materials as needed regarding appointments or meetings.
  • Plans and schedules conference/meetings, job applicant interviews and notifies appropriate individuals.
  • Maintains the supervisor's calendar, schedules appointments, and meetings on own initiative.
  • Tracks data for quarterly/annual reports.
  • Assists in preparation of justification for personnel actions, timekeeping, records management, training coordinator; procurement of office materials; travel, special meeting/presentation preparation assists with travel orders/vouchers, ad property accountability.
  • Proofreads completed work for accuracy in spelling, grammatical construction, punctuation, and checks to assure presence of necessary enclosures.
  • Types into final format from written material and brief instructions correspondence, narrative and tabulated reports, travel documents, personnel actions, and operating procedures on computer.
  • Takes minutes at staff and facility meetings.

    Qualifications

    You may qualify based on your experience and/or education s described below:Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receives and reviews all incoming mail/email, routes to appropriate staff to handle personally or responds directly to mail; Takes minutes at staff and facility meetings; Utilizes office automation systems to use several types of software for various office needs; Maintains the supervisor's calendar, schedules appointments, and meetings on own initiative; Tracks data for quarterly/annual reports.OREducation: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must possess Four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

    ORCombination: Applicants may also combine education and experience to qualify at this level. Do you possess a combination of successfully completed education and experience to meet the total experience requirements. (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade
