Job Description

Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing the department’s general administrative activities.

Essential Job Functions Greet, assist and direct guests at reception area Answer and direct phone calls Handle administrative and clerical tasks as needed Reads and routes incoming mail Composes and types routine correspondence Organizes and maintains file system, and files correspondence and other records Coordinates manager's schedule and makes appointments Conducts research, and compiles and types reports Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings Makes copies of correspondence or other printed materials Prepares outgoing mail and correspondence, including e-mail and faxes Orders and maintains supplies, and arranges for equipment maintenance Other duties as assigned

Qualifications

Must be 18 years of age or older High School Diploma or GED required Minimum one year of experience in a clerical/administrative support position Strong phone and computer skills; proficiency in Microsoft Word, Excel, Outlook and PowerPoint Must be fluent in English; Spanish proficiency preferred Basic accounting skills Valid, current and unrestricted Driver’s License required for certain positions

Given:This position has no supervisory responsibilities

Received:Works under general supervision. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.

Work Environment and physical demands

Ability to be on your feet, kneel and bend for extended periods of time

Occasionally work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces

Must be able to lift, push or pull 50 lbs. individually or with assistance
