Job Description

The Administrative Assistant will directly support members of the sales team in a wide range of tasks from database maintenance, scheduling meetings, organizing calendars and running errands up to attending meetings with Sales team members and assisting with critical projects and planning. The ideal candidate will be detail oriented, quick thinking, self-motivated, impeccably organized and will thrive in a fast-paced environment with diverse responsibilities and shifting deadlines.

  • Assist director and account manager with tasks related to customer accounts
  • Maintain strong relationships with customers
  • Accurately complete documentation for vendor/item setup and private label orders
  • Manage daily business using HubSpot, including contacting and following up with leads
  • Work with other internal departments
  • Resolve customer concerns and issues
  • Creating, maintaining, and entering detailed information into databases.
  • Scheduling appointments and managing Outlook calendars.
  • Managing and creating spreadsheets in Excel as well as drafting PowerPoint presentations.
  • Answering customer phone calls and processing customers' orders.
  • Performing basic clerical tasks (filing, faxing, printing, etc)

  • Enjoy working in a fast-paced environment. Proactive, highly motivated, creative thinking and deadline driven.
  • Ability to manage and prioritize multiple complex projects with competing priorities and deadlines
  • Superior organization, self-motivation and self-management skills, strong analytical skills
  • Demonstrated experience in a role requiring organizational skills
  • Professional demeanor and appearance a must. Friendly, positive and upbeat personality
  • Keen attention to detail, sound judgement, commitment to maintain high level of confidentiality and diplomacy, resourceful and creative.
  • Intermediate to advanced knowledge of software packages and technology in general.
  • Ability to quickly learn and adapt to new programs, technologies or processes quickly
  • Impeccable communication skills (written and verbal) and interpersonal skills.
  • Prior Administrative/Executive Assistance experience preferred.
