OFFICE ADMINISTRATOR POSITION DESCRIPTION

(Subject to change depending on qualifications and availability)

Ellensburg United Methodist Church is seeking a part-time office administrator to oversee the daily activities of the church office and to assist the Pastor, congregants, and community members with a variety of administrative duties. Responsibilities include answering phone calls, managing schedules, generating programs and technology for weekly services, assisting with the distribution of assistance vouchers for persons in need, and other activities as assigned.

Qualifications:

1. Friendly, even-tempered person able to deal with a wide variety of people, some of whom are involved in crises or special need situations.

2. Exercise tact, courtesy, confidentiality and diplomacy in receiving callers, in person or by telephone

3. General knowledge of all office equipment and supplies and a willingness to learn new office functions.

4. Good telephone and communication skills.

5. Possesses basic Apple and PC computer skills using a variety of programs, including Microsoft Office Products (Word, Excel, and PowerPoint).

6. Willing to learn other programs used by the church for records management and church services.

7. Supportive of the mission and beliefs of the church, though need not personally identify as Christian.

Job Responsibilities:

1. Maintain regular office hours. Currently 10:00 am-1:00 pm, Tuesday, Wednesday, and Thursday. (Days and times may be able to be negotiated.)

2. Answer the phone and screen calls for staff per their direction.

3. Perform general office work; maintain supplies and various files; keep records and compile these into periodic or occasional reports. Accuracy, attention to detail, and timeliness are a must.

4. File reports, correspondence and other assigned materials.

5. Take minutes at monthly church council meeting (Second Monday of each month from 6:00-8:00 pm).

6. Maintain an open line of communication with the Pastor, Staff-Parish Relations Committee, and other committees

7. Evaluate and distribute assistance vouchers to those in need and maintain all appropriate records for such transactions

8. Keep calendar of appointments.

9. Type letters or other documents as needed.

10. Edit and prepare weekly bulletins and other documents as requested.

11. Prepare and maintain mailing lists and church roster.

12. Recruit, schedule, and notify volunteers of their duties.

13. Type, photocopy, assemble, and mail routine letters and documents as needed/requested.

14. Keep accurate church records, (e.g. church members, prospects, calendar, etc.), working in cooperation with the Pastor and Church Treasurer.

15. Assisting Building Scheduling Committee and following church policy regarding building usage and key checkout.

16. Keep church staff informed of member’s needs such as deaths, illness and other crises.

17. Report to committee chairs issues relating to their committee responsibilities.

18. Perform other duties as assigned by the Pastor

Pay and Work Schedule:

1. Compensation is once per month on the 30th (or closest day to it)

2. Compensation is $15.00 per hour, up to 12 hours per week.

3. Work schedule is 10:00 am-1:00 pm, Tuesday, Wednesday, and Thursday. (Days and times may be able to be negotiated.) PLUS the second Monday of each month from 6:00-8:00 pm.

Condition of Employment:

1. Prior to employment, final candidate will be required to sign a Sexual Misconduct disclosure in pursuant to RCW 28B.112.080 and United Methodist Church policy, and to submit to a background check. All information obtained through background investigations will be strictly confidential and revealed only to those required to have access.
