Tarzana Treatment Centers is looking for a Office Supervisor. This is a full time position working M-F.

CATEGORIESOFDUTIES

Supervises Front Office staff members monitors the reception, lobby areas, as well as parking lot (camera monitoring). Responds to front office needs and provides excellent customer service.

Maintains documents and ensures current certificates, licenses are posted on display cases. Ensures lobby pamphlet holders are filled with current information.

Laminates document as needed.

Oversees communications/phone systems and call center staffing assignments of direct staff and assists with non-direct staff to ensure consistent coverage during business hours. Monitors the Phone Supervisor Desktop.

Provides phones and reception area coverage and purchasing duties, as needed.

Oversees the delivery or incoming and outgoing mail and internal distribution and provides phone coverage, as necessary. Circulate faxes to the appropriate departments.

Maintains office equipment (copiers, fax machines), contacts technicians, as necessary. Loads paper in storage. Distributes and orders official forms (status change, Letterhead, Mileage forms, etcetera).

Monitors and maintains group and meeting room schedules to minimize conflicts. Ensures projector storage and monitor are in good working condition.

Supervises emergency communications during emergencies. Coordinates facility-wide drills (fire, earthquake, etc.).

Participates and co-chairs the Environment of Care meeting. Presents monthly at the New Hire Employee Orientation (Life Safety).

Participates in meetings including, Environment of Care, Supervisors, Infection Control and others.

Establishes and maintains vendor contracts for projects. Obtains quotes on equipment and services as needed.

Maintains filing system for various documentation and projects.

Responsible for the daily remittance of cash receipts and other monies to the Fiscal Dept.

Performs other duties as assigned by Director and/or Administration.

EDUCATION/EXPERIENCE

High school diploma or G.E.D. One (1) continuous year of management in an institution, hospital, mental health, and/or chemical dependency setting.
