Job Description

Accounting/Admin Assistant needed for busy general contractor’s office in Kent. Bookkeeping/payroll experience helpful, especially in the construction field. Make yourself invaluable while you learn full-charge construction accounting and office. Please be organized, accurate, detail-oriented and with the ability to multi-task. Apply only if you possess competent computer skills, including email and Microsoft Office and Excel, and are a quick learner. Sage accounting software experience a plus. Job Responsibilities

Cordially answer phones, take messages, and greet visitors.

Data entry in AP, AR and payroll in accounting software as assigned.

Check runs: collate outgoing payments with invoice copies and mail checks.

Receive payments in Sage and remote deposit to online banking.

Process work order invoices for Service Department.

Word processing and maintaining data in shared files.

Receive / code and distribute mail.

Assist project managers by generating/tracking subcontracts and other paperwork.

Filing and maintaining files. Make copies and collate and distribute documents.

Schedule service and maintenance for office equipment. Order office supplies.

Maintain neat appearance in front office and conference area.

Place and track phone calls to vendors and subcontractors to solicit bid proposals.

Order materials and supplies and follow up on deliveries.

Other administrative and accounting tasks as assigned.
