We are actively seeking a multi-tasking individual that is well organized that can provide Excellent customer service while working in a fast-paced and high-demand environment. Daily activities, duties, and responsibilities would include, but are not limited to: answering a multi-line phone system; timely invoicing and billing of mechanical repairs, body work, and towing; maintaining a neat, clean, and effective work station; placing phone, fax, and electronic parts orders; prompt recording of parts, supplies, and material invoices; documentation of conversations and notes as required; sorting mail; maintaining an accurate dispatch log; recording and applying payments received; errands, including deposit, mail, and delivering / picking up customers as needed; effective dispatching; scheduling; and providing efficient communication with customers in regards to their vehicle, estimates, and service status. Individual Must be punctual, dependable, honest, friendly, and self-motivated; have the ability to proficiently multi-task, learn quickly, work well under pressure, and maintain confidentiality; be willing to advance knowledge and methods via (paid) online and live classes, training, conventions, and schooling; have knowledge of vehicles; pass a background check; and possess basic secretarial skills such as computer operation, e-mailing and faxing, answering phones, customer service, and money handling. The right individual will have strong professional customer service qualities; possess effective communication, and the ability to work effectively with everybody. As the core to our operation, the secretary communicates daily with our customers, technicians, drivers, along with the parts / delivery personnel, local law enforcement, government agencies, and insurance and motor club representatives. This full time position is Monday through Friday, with no weekends and occasional opportunities for overtime.
