The Project Coordinator/Management Assistant provides direct administrative support to the Division Director and completes special projects as assigned by the Diplomacy Manager. Project Coordinators are skilled at getting the best out of the people and projects that they oversee. They thrive when planning projects and working with project teams. The applicant should be self-motivated with experience working and collaborating across functions. The Project Coordinator/Management Assistant should be a driven, problem-solver, and creative who will fit within our diverse and collaborative culture. Deliver projects on time, within budget, delegate and follow-up on the completion of tasks, and meet the team’s quality standards

Familiarity with operational processes and interaction with other teams/functions

Create an environment of continual improvement both in and outside of the direct division

Demonstrate a passion for customer service, organizational culture, mission and vision

Leverage your expertise to challenge the status quo and drive decisions and actions necessary to improve business processes and provide direction and support to the team’s projects and programs, functions, and stakeholders

KEY DUTIES AND RESPONSIBILITIES:AdministrativeManage scheduling, appointments, and calendars for the Division Director.

Prepare briefing binders, memos, agendas and presentations for Trade/Investment Missions and meetings

Develop and maintain systems of effective communication and coordination within OEDIT, the Governor’s Office, other state agencies, and with external partners and stakeholders

Track and coordinate documents moving through the approval process

Submit all credit card reimbursements for the Division Director

Act as the Accounting Liaison for the Division, maintain vendor relationships

Onboard new employees and manage the hiring process

Route documents for signature

Conduit between business units for information sharing

Prepare the week ahead document for the Executive Director

Create agendas and manage the team meetings

Order and keep an inventory of office supplies and diplomatic gifts

Special ProjectsLead and complete research, administrative, and staffing assignments as directed by the Diplomacy Manager

Support project management activities and communications

Contribute to strategy and planning work, meetings, and other activities such as process improvement and other opportunities indicated by the Executive Director

Assist with drafting staff guidance and memorandums

Assist the Global Business Development Managers by developing proposals for job creation projects

Manage operational tasks related to project proposals, trade and investment missions and other large events or projects

Support the logistics of the division’s cross-functional initiatives

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal RightsREQUIRED KNOWLEDGE, SKILLS & ABILITIES:This position requires a self-starter who is outgoing, enthusiastic, and has a positive attitude plus good judgment. Candidates should have exceptional organizational skills and attention to detail; strong oral and written communications skills; problem-solving acumen; and demonstrate personal integrity, confidence, diplomacy as well as flexibility. Excellent proficiency in Google Apps and Microsoft Word, PowerPoint, and Excel is essential.EDUCATION AND EXPERIENCE:High School degree is required; Bachelor's degree is preferred.

2-4 years in an administrative role, preferably with previous Executive Assistant Experience.
