Job DescriptionFinalize orders for the purchasing process by attaching receiving tickets from storeroom and original invoices. Analyze the type of transaction and create the appropriate document in I/3 to pay order and pass onto the accounting department for the two levels or pre-audit. Finalize the 3-Way Match process and resolve any problems in completing the process by tracking any delivery tickets needed to finalize order. Resolve problems with invoices, delivery orders, or other documents by calling appropriate staff and vendors. Respond to telephone calls regarding orders, payments, questions and problems to resolve purchasing issues. Take messages and pass to appropriate persons. Resolve inquiries about delayed orders or other Purchasing unit concerns. Update Purchasing Agent 2 or Department Director as appropriate. Compiles written account of all transactions. Verify all data for accuracy and attach the remittance copy for mailing. Mail warrants to vendors after receiving from Central Office. Manage reconciliation of GRC Bank Cart in GRC Business Office. Process claim vouchers for consultants - verifying calculations of hours worked and rate per hour or visit. Resolve any problems. Communicate with ordering department to ensure they are requesting the correct product- verify product description, vendor information, etc. Maintain communication with vendors to resolve problems. Compile monthly copier meter readings for all copiers on campus and evaluate when they need replacement. Provide reports of copier usage and copier replacement recommendations to supervisor upon request. Sort and distribute mail. Attach invoices to appropriate Claim Orders and Purchase Orders for payment. Separate statements, credits, correspondence, bids, contracts and miscellaneous mail and file. SCHEDULE: Monday - Friday 8:00am - 4:30pm Minimum Qualification RequirementsGraduation from high school or G.E.D. and experience equal to two years of full-time clerical work in purchasing, accounting, budgeting, or storekeeping;ORan equivalent combination of education and experience substituting one year of accredited post high school education for each year of the required experience;ORemployees withcurrentcontinuous experience in the state executive branch that includes experience equal to eighteen months of work as Clerk, Clerk Advanced, Clerk Specialist, Accounting Clerk 1, 2 and 3, or Storekeeper 1, 2 and 3.For additional information, please click on thislink to view the job description.
