Job Description

The Operations Associate (OA) will play a leading role in supporting our Spanish-speaking families, partner directly with staff, students, and families of KIPP Indy Public Schools and is responsible for maintaining operational excellence at the school. The OA is a key member of the school’s Operations Team reporting to the Director of School Operations at their school site. The Operations Associate will play a critical role in ensuring KIPP Indy Public Schools are equipped to prepare students with the skills and confidence to pursue the paths they choose – college, career, and beyond – so they can lead fulfilling lives and create a more just world.

Multisite Front Office Management

  • Provide exceptional customer service to all stakeholders and visitors who interact with the KIPP Indy front offices
  • Ensure front office space is highly organized, welcoming, and structured efficiently for visitors, staff, and students
  • Support with Spanish speaking families in translating school-based communication
  • Manage phones and use systems to communicate information to staff, students, and families
  • Manage key front-office systems including visitor management, mail and package deliveries, and faxes
  • Support late-arriving students with signing-in and receiving a pass to go to class
  • Ensure compliance with region-wide safety protocols and visitor expectations

Campus Operations

  • Support execution of campus arrival and dismissal procedures, including transportation charges and early pickups
  • Support translation of printing and distribution of materials, including report cards, awards, testing materials, and posters
  • Support logistics and execution of on and off-site special events, including family events and field trips
  • Serve as staff point-of-contact for custodial needs
  • Support maintenance of student information system (i.e. contacts, addresses, etc.)

Attendance & Enrollment

  • Collaborate with campus operations team on systems related to enrollment, attendance, and student retention
  • Support families with enrollment, registration and student records processes
  • Support daily attendance system, including tardies, excused and unexcused absences, and early pick-ups
  • Execute and record daily attendance calls for absent students

Qualifications

  • A minimum of 1-2 years of work experience
  • Spanish fluency (required)
  • Experience in education or non-profit fields (preferred)
  • Outstanding project management, organizational skills, and extraordinary attention to detail
  • Strong communication skills.
  • Conveys information in a way that is honest, timely, and respectful
  • Demonstrated ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions
  • Unquestioned integrity and commitment to the KIPP Indy mission and community
  • Track record of achieving exceptional results in prior role(s)
  • Pass a criminal background check, as required by law

COMPENSATIONSalary is competitive, commensurate with experience, and includes benefits.
