Administrative and Academic Operations Manager to join our team!

JOB RESPONSIBILITIESIndividual will support Air Force Cyber College (The Client) in the overall design, development, execution, and control of Client s administrative responsibilities for the FMA-C course. Other duties include:
  • Administrative management and consulting encompass providing support in daily operations through design, development, execution, and control activities of the FMA-C including:
  • Researching, preparing, editing, and finalizing FMA-C Course program documents.
  • Researching and responding to organizational e-mail requests for materials and information in reference to the FMA-C Course.
  • Performing all support functions for FMA-C Course program, records management, and standardization activities. Design, develop, manage, and maintain the Client s internal records management/standardization processes about FMA-C. Maintain staff records for audit and reference purposes.

  • Receiving, tracking, preparing, coordinating, and closing out administrative and functional tasks as assigned by HHQ as well as the Client through the Task Management Tracking (TMT) (or similar) system with regard to FMA-C.
  • Perform administrative organizational calendar maintenance for Client personnel and contractors in support of FMA-C Course program client activities, including internal meeting arrangements.
  • Research, prepare, present, and participate in meetings, reviews, briefings, and teleconferences/Video teleconferences (VTC). Research and prepare slides, agendas, minutes, and other administrative products using the Client s software and hardware for the FMA-C Course program (note: the Client is currently using Microsoft Office products including Word, PowerPoint, SharePoint, and Excel as well as transitioning to Canvas as the AU Learning Management System (LMS)).
  • Develop, manage, and maintain documentation for Standard Operating Procedures (SOP) necessary to execute the contractor s program support activities in accordance with the contractor s Continuity of Operations (COO) plan. The contractor will provide a current version of this documentation that reflects current procedures to the Client in standard electronic format semi-annually, with the last provision occurring no later than one week prior to the end of the period of performance.

  • Manage the Client s administrative support function for the FMA-C course.
  • Meet bi-weekly (minimum) with the Client to provide FMA-C Course specific summary of suspenses and activities, discuss and coordinate schedules, calendars, and timelines for deliverables for existing and upcoming tasks and activities and address any other pertinent mission execution items.

REQUIREMENTS
  • Must have demonstrated knowledge and expertise in administrative support as evidenced by:

    • Minimum 3 years of experience in administrative duties to include academic level support experience.
    • Demonstrated mastery of Microsoft Office software.
    • Demonstrated expertise in planning and report writing.
    • Minimum 3 years of experience in executive-level program planning and/or program management.
    • Basic working knowledge of the Canvas LMS system.
  • Must have demonstrated knowledge and expertise in educational and training program planning and management as evidenced by:
    • Minimum 2 years of experience in developing and executing training and/ or education plans and programs.
  • Air Force experience is highly desired.
  • Extensive knowledge in the production and management of academic programs, materials, and services.
  • Expertise in Instructional Systems Design, academic program management, academic program delivery, and academic program documentation/record keeping.
  • Knowledge in supporting and/or executing training and education programs related to cyber system, engineering, critical thinking and operational design.
  • Extensive knowledge of and competency with Microsoft Office applications (e.g. Word, Excel, PowerPoint, Access, Outlook, Project Manager, and Adobe Acrobat Professional) as well as a basic working knowledge of CANVAS LMS.
  • Extensive knowledge and skill with executive support functions such as the ability to use manual and multimedia methods to accept, manage, coordinate, execute, record, and maintain staff work/products to support the Client s operational efficiency and effectiveness in regards to the FMA-C Course program.
  • Expertise in process improvement and consulting services.
  • Ability to collaborate with, inspire, and motivate others toward goal accomplishment.
  • Ability to deal with sensitive issues in a professional manner.
  • Ability to communicate with and interact with senior leaders from both the public and private sector.
