Job SummaryUnder minimal supervision, responsible for coordination, status reporting and stability of Epic project oriented work efforts, establishing and implementing project management processes and methodologies to ensure projects are delivered on time, within budget, adhere to high quality standards and meet assigned expectations. This position develops, defines, publishes and executes project plans including statement of work, work plans and schedules, budgets and deliverable/responsibility matrices. The incumbent also identifies needed resources, defines roles and responsibilities, and arranges for assignments of key project participants. Coaches team and business partners on governance and intake processes. Coordinates any/all communication efforts to appropriate individuals. A key responsibility is to improve decision-making on Epic projects, and ensure that metrics related to projects are leveraged in decision making processes. Further responsibilities include balancing schedules, scope and budget; renegotiating with sponsor as necessary; and performing variance analyses. Additional duties involve reporting on task and deliverable completions and budget expenditures, executing communication plans, and communicating critical paths and mitigating risks to implementation. The individual in this position coordinates, facilitates, and monitors project milestones and budgets for assigned projects, and coordinates and leads cross-functional teams to deliver the projects. This position has management responsibilities (e.g. hiring, firing, performance management) and completes projects through leadership of others for whom it has line responsibility.Scope of applications or support may be for a specific application or multiple applications of Epic. Serves as liaison and representative to the Epic and clinical and IT communities, work groups, and governance committee. Performs task analysis, long term and short term planning, and determining needs of the project and staff. Manages multiple applications through planning, scheduling, assigning, coordinating and reviewing tasks performed by tasks.Responsible for managing the Epic project tasks in particular application area(s). These tasks are moderately complex to highly complex. Negotiates with clients and vendors to deliver projects and tasks within mutually agreed upon deadlines. Manages the system enhancement request process, working with the governance committee to ensure the proper programs/projects are completed as previously negotiated. Ensures adherence of all Denver Health and eHealth Services quality assurance processes consistently across all project/program work efforts.Under minimal supervisor, responsible for coordination, status reporting and stability of EHR work efforts. Serves as a department liaison with Epic team members, other IT and clinical departments and vendor partners to drive successful delivery of large-scale, complex/cross-functional, multi-project programs managed within eHS.ResponsibilitiesPROGRAM MANAGEMENT / PROJECT MANAGEMENT•Key department liaison with our customers, team members and vendor partners to drive successful delivery of large-scale, complex/cross-functional, multi-project programs managed within eHS.•Provides management and leadership to coordinate and streamline all analysis and communication of project/program vitals. Analyzes and monitors issue, risk and change management processes across all assigned program efforts, aligning with eHS standard work and industry best practice. Maintains detailed understanding of project/program priorities and ensures alignment across all program coordination efforts.•Manages program budget for approval; makes recommended adjustments and maintains necessary documentation/information.•Demonstrates logical approach to problem solving and takes the initiative to make decisions within the scope of assigned program work and day-to-day management of assigned team members, in a timely manner. Communicates and intervenes/escalates appropriately with vendor or departmental personnel when required to ensure efficient and timely issue resolution.•Responds to email, voicemail, escalations and change requests within minimum timeframe.•Leverages Lean tools and techniques to collaboratively develop and operationalize essential standard work, with a bias for continuous process improvement. Maintains 'tight connections' with other eHS teams to develop and operationalize least-waste processes across the entire project lifecycle.•Serves as a single point of contact for all program vitals associated with assigned work efforts; builds and manages all program deliverables; directs, monitors, and validates project team member performance.•Anticipates resource needs and plans accordingly. Interview and hires/assigns necessary staff. Ensures appropriate succession planning for all critical path program efforts.•Provides and/or implements recommendations and solutions. Continuously validate alignment with Denver Health and eHS strategic imperatives. Formulates documents, communicates and executes plans ensuring successful progress toward meeting and/or exceeding individual, team and program goals and objectives.APPLICATION OVERSIGHT & STRATEGY•Performs needs analysis to define opportunities for new or improved business process solutions for IT systems.•Consults with customers to identify and specify clinical and technical requirements.•Conducts business process reengineering.•Conducts feasibility studies and trade-off analyses.•Develops costs estimates for new or modified systems.•Ensures the integration of all IT system components (e.g. procedures, policies, software and hardware).•Ensures alignment with the rigorous application of information security/information assurance policies, principles and practices to the systems analysis process.•Assigns work based on priorities, selective consideration of the difficulty and requirements of assignments, and the capabilities of employees.•Finds ways to improve production or increase the quality of work directed.•Works directly with IT governance committee to evaluate new requests as relates to technical feasibility, alignment with organizational architectural and technical standards, technical work efforts and availability of resources.•Evaluates IT portfolio to define opportunities to decrease complexities to help streamline operations and maintenance.•Evaluates new clinical informatics application software technologies.TALENT MANAGEMENT•Manages the activities of employees within the team.•Assess staffing and skills requirements, establish professional development & training plans, and set goals and expectations for team members.•Reviews and approves personnel matters pertaining to interviews, participates in hiring of new employees, and ensures training for new employees.•Reviews provisions for staff development, training and orientations as prescribed by DHHA standards.•Maintains an adequate dialogue with direct reports to ensure that everyone understands the strategic and operational direction of the eHS department.•Sets expectations for completing project/work assignments, provides direct reports with the resources, tools and training they require to meet the expected performance levels.•Provides continuing feedback on direct reports' performance and makes recommendations for improvement.•Monitors, evaluates, appraises or disciplines employee's activities according to DHHA standards.•Ensures each employee receives their annual performance appraisal as prescribed by DHHA and departmental standards.•Manages all screening, interviewing, hiring, career-pathing, reward and disciplinary actions for current/future direct reports.•Provides guidance, processes and tools to assist team members in organizing and prioritizing their efforts efficiently and delivering high quality results consistently and within negotiated timelines.•Establishes meaningful performance criteria for all assigned resources that aligns with and enhances Denver Health standards. Ensures clear communication and understanding of these criteria with each member supervised. Identifies education and staff development needs and ensures appropriate educational and developmental opportunities are provided. Conducts all performance evaluations on time, working with each employee throughout the year to ensure success.VENDOR RELATIONSHIPS•Develops and maintains working relationships with vendors.•Works with vendors to augment DH staff for large projects and help negotiate competitive professional service rates.PROFESSIONAL GROWTH•Maintains personal professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in both the Information Technology and Healthcare fields.•Maintain awareness and understanding of current and emerging technology.•Participates in external groups which promote Healthcare IT (i.e. HIMSS/CHIMSS, AHIMA)•Contributes in speaking engagements or publications.Knowledge, Skills & Abilities: Strong management skills. Concentration in Computer Science, Information Systems, Business or Healthcare preferred. Master's Degree preferred. Experience: Five (5) years Epic experience required.
