Our clientis looking to fill an Office Managerrole for their team in Quincy, MA

. The Office Manager is expected to become a vital cog in the day-to-day operations of the program team and be the go-to person for all administrative functions. The main duties include scheduling meetings, reserving conference rooms, coordinating security badges, onboarding and offboarding staff, managing facilities and meeting all other administrative needs of the program team.

This would be a contract role going through the end of June 2022 at their office in Quincy, MA

Required Skills & Experience
  • 5-7 years' experience in office management and supporting administrative functions
  • Energetic, can-do approach and the ability to track and follow-up on tasks independently, seek out additional work, and recommend ways to improve current administrative activities and processes.
  • Attention to and precision with detail and problem-solving skills
  • Ability to assess priorities and operate in a flexible manner in order to meet the dynamic needs of the team
  • Strong analytic and communication (oral and written) skills necessary to interact with all levels of staff and management
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
Job Requirements:
  • Ensures day-to-day operations and facilities are functional and efficient.
  • Coordinates staff on boarding and off-boarding process, including but not limited to recruiting, interviewing, start-up activities (identifying space, providing orientation, securing ID badge, etc.), and exiting activities (collecting ID badge, submitting network account close-out, etc.).
  • Supervises administrative staff/project coordinators and serve as back-up, when needed.
  • Assists in the development, implementation, and documentation of office functions such as onboarding/offboarding team policies and processes, improving administrative operating procedures, forms, and workflows.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement processes and proactively addressing supply shortages and equipment repairs.
  • Reviews monthly reports to ensure contractors are within their contractual hours on a monthly and YTD basis.
  • Delegates projects, including administrative projects and deliverables.
  • Review, update, and report the changes in the organizational charts of the HIX program and various Commonwealth and vendor organizations on a monthly or as needed basis.
  • Coordinates the use of office space and equipment, including conference rooms, laptops, projectors, etc.
