This position is full time. The shift is 8:30 am - 5:00 pm. You should be flexible to work weekends as needed.BASIC FUNCTION: The Conference Resource Coordinator is responsible for three areas within Resource Management; Resource Management, Off-site Programs and the Greenhouse. In all positions, they will support leaders of these three areas to ensure the success of the programs.Job Description:QUALIFICATIONS:

High School Diploma or equivalent required.

Minimum 2 years’ experience in general office environment preferred.

Previous shipping/receiving experience preferred.

Excellent computer software knowledge of Microsoft Office required. Knowledge of Delphi (or other event management systems) and Opera (or other property management system) preferred.

Excellent verbal and written communication skills.

Previous guest or customer service experience required.

ESSENTIAL FUNCTIONS:

Oversight & assistance in creating memorable guest experiences, as well as, anticipating guest and facilitator needs through event pre-walks and room checks.

Regularly check-in with lab managers and associates to assess pop up needs throughout the day.

Maintain Greenhouse learning component / content management (through visual magnetics and mobile panels); understanding of functionality needs for various lab types; ensuring rooms sets, chairs & spacing are appropriate for the event goals, as assigned

Assist with movement and placement (delivery) of program materials, including pre-and-post-event prepping, shipping and storing, as assigned

Assist with technical and logistical opportunities that arise in meeting rooms for both instructors and attendees, as assigned

Manage the organization of the program materials storage room and closets, including receipt and placement of daily shipments, as assigned

Manage the organization of the off-site office supply material and badging storage room, including receipt and placement of daily shipments for off-site programs and Greenhouse meetings, as assigned

Oversee inventory of office supply materials needed for up to (but not limited to) off-site meetings, maintaining an organized storage space, prompt delivery & receipt / storage of such materials, as assigned

Create, cross check and ship name badges for off-site programs - (print, stuff and inventory by participant type), as assigned.

Create, complete and distribute the Production Schedule Report (off-site group schedule) to the NMS team as a proactive approach to badging and supply deadlines, as assigned.

Maintain a solid working relationship with Deloitte National Meeting Services and Greenhouse Team; routinely soliciting feedback on performance.

Maintain effective communication and positive relationships with all operating departments acting as a resource and appropriately delegating tasks as needed.

Follow up with all change requests to ensure accuracy and operational communication

MARGINAL FUNCTIONS:

Perform other job functions as necessary to ensure property and company goals and guest expectations are exceeded, such as act as a Conference Floor Concierge, as needed.

Remain available via company-provided lap top to answer any questions that might relate to assigned off-site programs.

Maybe required to work various days and shifts based on groups activities.
