For more information, visit www.inovio.com.Job summaryThe Contract Management Paralegal will support the Legal Department and interact with other departments’ point-of-contacts to ensure that assigned contracts and related documents and key reporting deadlines are managed in a timely and efficient manner according to Inovio’s contract processes and procedures. The candidate will also be responsible for assisting with the drafting, revising and reviewing of contracts and serving as an administrative liaison for the Legal team to coordinate work and provide reports as needed.Essential job functions and duties

  • Support the Legal Department in the contracting process and training.
  • Support the Legal Department’s migration to a new contract management system, including implementation activities such as transfer of files and information and training of functional areas on updated processes.
  • Support the contract management process, including (i) contract request intake; (ii) triage and prioritization of all incoming legal requests; (iii) collection of additional supporting documentation and research, as needed; (iv) facilitation of contract review and execution; and (v) assist in filing and archiving of executed agreements.
  • Support the day-to-day workflow process in completing requests for contracts and related documents.
  • Provide Legal Department and other functional areas with timely reporting on contract and related requests.
  • Communicate with paralegals, attorneys and functional areas to ensure contract requests are updated regularly and processed in a timely manner.
  • Drive timely collection of final Inovio signature(s) on approved contracts and related documents.
  • Ensure outstanding customer service is being delivered on a day-to-day basis for all clients of the Legal Department’s services.
  • Support maintaining accurate records.
  • Assist in the drafting and review of legal contracts.
  • Support legal counsel with maintaining, updating and enforcing internal policies.
  • Contribute to organizational and process initiatives to increase departmental efficiency.
  • Clerical duties such as invoice processing, meeting minutes, legal research, proof-reading and editing, memo preparation, copying, scanning, etc.
  • Work with Finance/Accounting, Clinical Operations, Research & Development and other departments cross-functionally on contract-related issues.
  • Other tasks may be required based on business needs.
  • Work autonomously and exercise appropriate time management to respond to shifting demands, and present a positive, professional image with colleagues, clients and vendors.

Minimum requirements

  • BS/BA degree strongly preferred but comparable experience will be considered.
  • Paralegal certification or comparable experience.
  • Minimum 3 years’ experience in a legal department setting.
  • Experience in a pharmaceutical or bio-tech company strongly preferred.
  • Excellent oral and written communication skills.
  • Excellent organizational and administrative skills.
  • Excellent attention to detail and writing skills.
  • Good interpersonal skills with the ability to form relationships with a variety of stakeholders.
  • Proficient in Microsoft Office, including MS Word, MS PowerPoint and MS Excel. Experience with SharePoint preferred.
  • Working knowledge of DocuSign, Adobe Sign and/or any signature software preferred.
  • Experience with contract management systems strongly preferred. Experience with Agiloft a plus.
