Job Title: EXHIBITS COORDINATOR
Coordinates with: Operations Manager
Job Scope: Year-round to include Fair Time and Off Season
To cycle between Part time and Full time as needed
Salary: $15.00 per hour (DOE)
JOB DUTIES:
Create Exhibit Guide: Gather content, format, edit, submit draft for review
Contact potential sponsors for exhibit guide to sell ad spaces
Create manuals for Division Superintendents and Judges, Exhibit tags, ID forms, stall cards, entry forms, division handbooks and score sheets
Create Competitive Exhibit posters and signs
Work with the Competitive Exhibits Advisory Committee and Protest Committee as needed
Work with Operations Manager as needed to hire & train Exhibit Assistant
Assist with exhibit volunteer recruitment, coordinate training, and act as an overall supervisor for exhibit volunteers and judges
Act as overall support to and provide training for: Superintendents, Exhibit Assistants, Judges
Coordinate competitive exhibits computer files, create Fair closeout and update Superintendents Roster
Populate and maintain data base for competitive exhibits
Verify all submissions for Premium payouts prior to disbursement
Evaluate competitive exhibit display needs
Responsible for planning and reconciliation of competitive exhibits
Statistical reports regarding exhibits: division statistics, premium payout compilation
Work with committee on securing judges, and coordinating their presence at the fair.
Work to maintain positive relationships with all Exhibit Volunteers.
Coordinate all mailings, informational packets, ribbons, surveys, tickets, and newsletter blurbs necessary for Exhibits.
Work with Volunteer Coordinator to find and place Exhibit Attendants
Work with Vendor Coordinator for exhibit display locations in shared spaces
Position requires personal mobility with the capacity to cover the entire fairgrounds
Provide completed files (i.e. Budget, Evaluations) and suggestions for improvements (Wrap up report) regarding exhibits to Operations Manager when required
Prepare necessary reports for annual audit as needed for exhibits information
Serve on TVSFA Committees and attend Board Meetings as requested by the Operations Manager
Serve as liaison between Facilities, Grounds & Maintenance Manager and staff involved in exhibits
Assist customers in the office during open office hours as needed
Must have a genuine interest in the well-being of the Fair
Other duties as assigned

Experience working with diverse groups of people
Experience working with detailed information
Event planning & coordination
Requires sense of humor, energetic personality, and pleasant attitude
Be organized and have good attention to details
Be a team player, self-motivated and able to work with little supervision (consistently exercise good judgment)
Willingness to be flexible and work under intense pressure at times
Must be physically present for full-time work June, July, and August
EDUCATIONAL BACKGROUND:
High School Diploma or GED
College Degree preferred
