Provides direct administrative support to a highly productive clinical and research faculty with a high volume of patients and research protocols.

Coordinates, organizes, and carries out the day-to-day activities of the office as needs arise which may include:

Maintaining daily calendar of appointments and events

Tracks CME, RME, and ethics credits annually when assigned

Fills out a Faculty Absence Notification Request when the physician(s) is out of the office with proper signatures of approval and notifies the Clinic by email or fax. Date(s) are entered in Kronos Timekeeping.

Prepares and submits the Texas Standardized Credentialing Application every two years Maintains and updates electronic entries in Faculty Information System (FIS), complying with institutional format for up-to-date curriculum vitae and NIH Biosketch and Other Support

Assists in preparation and submission of manuscripts, abstracts, book chapters, grants, and protocols

Prepares, maintains and audits personnel folders

Composes and edits correspondence and other documents

Provides administrative support to clinical and research faculty as needed

Coordinates Travel arrangements and expense reimbursements:

Makes travel arrangements, applying both institutional and departmental policies.

Prepares reimbursements for travel and/or other expenses

Arranges conferences according to department specifications, including booking rooms, catering, and equipment

Submits reimbursement, monitors and balances the PRS budget activity per assigned faculty

Tracks annual extramural per assigned faculty

Timekeeping Assistance for the Department of Emergency Medicine:

Works with Department timekeeper as needed to for weekly timekeeping for the department including Kronos, Web Schedule EM Time-off Calendar, and posting of the Emergency Medicine/EM Clinical Decision Unit On-Call monthly Calendar, creating weekly vouchers for MDA Moonlighters, and creating the monthly vouchers for the part-time Clinical Specialists.

Education and Trainee Support:

Provide support for the department when needed including the Oncologic Emergency Medicine Fellowship, the Oncologic Emergency Medicine conferences, and research and student trainees. This requires knowledge of the Discover application system, correspondence with applicants, New Innovations system, and coordination with CME/Conference Management.

Report Processing:

Complete institutional forms when needed according to institutional standards, policy and procedures, and/or institutional guidelines. Maintains and updates electronic entries in Faculty Information System (FIS), complying with institutional format for up-to-date curriculum vitae, NIH Biosketch, and others; Coordinate and track various ongoing requirements such as guidelines and submission deadlines.

Provides administrative support to clinical and research faculty as needed:

Greets and directs guests upon arrival to the Emergency Medicine suite.
