The primary purpose of the Operations Manager in the Radiation Oncology Department at MD Anderson Cancer Center is to plan, organize and monitor administrative activities and services within the Department, particularly those involving faculty lifecycle actions.KEY FUNCTIONSPersonnel Management

Provide direct supervision of the department administrative support staff, monitor and redistribute assignments; be proactive in anticipating changes in priorities and coverage.

Recruit, orient and train new administrative support staff; evaluate administrative support staff in accordance with institutional policy.

Handle problems and questions in the support staff area in a thorough and timely manner, utilizing diplomacy, and counsel staff when necessary. When appropriate, provide documentation of actions taken and counseling/discussions conducted in regard to support staff attendance, conduct, or job performance.

Display the ability to work closely with others, communicate clearly, develop efficient systems to promote a high level of productivity, and be able to function pleasantly and effectively and to influence others to do likewise under occasionally highly stressful conditions.

Human Resource Coordination

Coordinate all personnel issues and actions, policy and procedure issues, and faculty requests regarding administrative support staff, and faculty members.

Responsible for the department's faculty lifecycle actions to include recruitment, appointment, promotion and tenure, performance evaluations, credentialing, visas and separation.

Perform initial screening interviews for departmental administrative positions and make hiring recommendations to the Associate Department Administrator. ยท

Maintain all departmental personnel files in accordance with institutional and JCAHO guidelines.

Track and verify that department employees and physicians have completed the requisite departmental and institutional forms for time off or travel.

Work with Finance, Human Resources, Faculty Academic Affairs and Visa department to resolve funding, job level, or information issues.

Interpret institutional and departmental policies for employees.

Assist in the revision and creation of position descriptions for department personnel.

As appropriate, provide the Associate Department Administrator with recommendations regarding promotions/demotions/terminations, merits, etc., for administrative and laboratory personnel.

Manage departmental performance management process for department personnel ensuring milestones are set, met and evaluated in a timely manner.

Physical Resource Management

Lead department office space planning, orchestrating physical relocations, and renovations; prepare departmental space audits.

Provide recommendations based on research of available equipment when major and minor office equipment is being considered.

Responsible for the effective and orderly repair, maintenance, safety and operating condition of office equipment.

Serve as backup to the Senior Procurement Specialist in coordinating the department's annual physical inventory in accordance with the guidelines provided by Property Control.

Assist in maintaining the aesthetics of the department's assigned space

Administrative Production

Manage and evaluate departmental initiatives and programs to ensure optimal productivity, and performance; perform SWOT analysis and make recommendations to Department Administrator for quality improvement

Compose complex correspondence, often of a confidential nature, from basic information and route appropriately.

Correctly complete and route departmental and institutional forms.

Attend meetings in the Department Administrator's absence and provide information on behalf of the department.

Assist in developing and maintaining standard operating procedures, documents and forms for the department.

Meet regularly with Department Administrator to discuss current status of projects and to maintain a consistent dialog and united focus.

Provide support to other department staff, as needed.

Display exceptional proficiency at the keyboard, utilizing numerous software packages for word processing, graphics, spreadsheets, database management, reference searches, etc.

Assimilate pertinent information in order to compose written correspondence (must have a strong command of the English language, including spelling, writing, and verbalizing) and be able to communicate well verbally and in writing.

Understand and follow verbal and written directions, read and understand printed and written data, organize and disseminate information in a clearly understood manner, and be clearly understood by verbal communication in face-to-face encounters and by telephone.

Education: Bachelor's degree in Business Administration, Hospital/Healthcare Administration or related field.Preferred Education: Master's Level DegreeExperience: Four years of experience in a professional/administrative capacity, to include two years' experience in a supervisory capacity in any field.
