Warranty Administrator

Freightliner of Austin is looking for a warranty administrator. The warranty administrator's job is to file warranty claims and follow up for payment from vendors providing warranty. This person must have excellent organizational skills.

No previous experience in warranty is required. Basic automotive knowledge is a plus.

Job responsibilities will consist of the following:

Book warranty repair orders and submit claims of manufacturer warranty.

Maintain receivables schedules.

Work closely and effectively with team of technicians, service writers, and supervisors.

Coordinate with vendors and manufacturers to ensure prompt payments.

Communicate with Service Advisors to define the scope of a warranty claim.

Process all warranty paperwork to ensure proper documentation and verify criteria.

Reconcile all warranty receivables and work with the accounting department to obtain payments.

Keep track of all services and customer records as required by warrantor.

Maintain familiarity with all updated factory recalls, announcements, and procedures.

Establish and build positive relationships with the manufacturers’ designated warranty representatives and the representative of any aftermarket warranty company with whom the dealership conducts business.

Review every warranty repair order written for proper completion, accuracy, and legibility according to the applicable policies and procedure manuals.

Determine the applicable labor operation codes, failure codes, and other administrative data required and enter them on orders.

Ensure that all deductibles are properly documented for collection from the customer at the time of repair completion and/or delivery.

Review all returned and rejected warranty claims and prepare the repair orders for resubmission.

Maintain records of all claims submitted, returned, rejected, and paid and their current status.

Establish and maintain a record and control of the physical inventory of parts to be returned, inspected, or scrapped by the manufacturer or other warranty authority.

Arrange and coordinate parts for shipment to factory or distributor.

Provide a weekly report to the Warranty Manager regarding claims status.

Qualifications:

Good written communication skills, including appropriate grammar and punctuation

Ability to type 40 words per minute

Reliable attendance

Attention to detail

General accounting knowledge

Basic knowledge of Excel Spreadsheet

Schedule:

This is a full-time position, 40 hours a week, Monday-Friday.
