The Impact You’ll Make

Manage a team of Care Coordinators and scribes as well as provide day-to-day support for leadership team. Organize and coordinate systems, provide analytical skills, support the logistics of the tele health practice with complex details and advanced administrative duties. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinate activities between departments and outside parties. Contact company personnel at all organizational levels to gather information and prepare reports/recommendations. Work is generally of a critical or confidential nature. Ensures effective communications and relationships between internal customers, clients and team members are maintained. Assignments may be found in various functional areas. This position will report to our offices located in Leawood, Kansas.

The Tele Psychiatry Supervisor will work under the direction of the Tele Psychiatry Manager and with other leaders across the practice line. It is the responsibility of the supervisor to understand enterprise-wide mission, values, and strategy and to align and prioritize workloads based on necessary.

What You Will Bring

Supervisor (50%)

Oversee care coordinator team and scribes assuring day to day operations are completed as assigned

Assist with real time service recovery to clients and providers

Assist with onboarding and education for care coordinators and scribes

Provider oversite for scheduling and assistance in assuring proper staffing levels

Assess current delivery of executive support to maintain high level of support, adjusting as needed

Tele-Psych Care Coordinator (35%)

Handle a high volume of patient intake calls from provider or registered nurse to schedule psychiatric consults.

Follow the process within the escalation guide to prioritize consults based on shifting needs and resources.

Work with on-call providers, such as physicians, to help triage their requests. This includes helping to facilitate delays, prioritize/reschedule patients in case of consult overload in collaboration with the physician.

Ensures each physician is allocated their proper workload and assists with scheduling patients with providers.

Ensures secure documentation is sent to appropriate providers who are accepting/denying information.

Act as the first point of contact to provide customer service for contract sites. May address notification of delays, missing documentation, triage site questions and/or concerns, escalate to managers as appropriate.

Document all medication requests, transfer requests, consult requests, doctor-to-doctor encounters into the tracking database.

Keeps immediate supervisor promptly and fully informed of all issues or concerns and takes prompt corrective action where necessary.

Miscellaneous (25%)

Miscellaneous, ad-hoc, and temporary support for tasks, projects, programs, and individual assignments. Requests may be initiated by other leaders including project managers in and outside of the department.

Miscellaneous admin work may include work for committees, meetings & events, corporate activities, etc.

Required Experience and Competencies:

Two to three years of experience in an office or healthcare setting.

Works 3, 12 hour shifts per week

Works every other weekend, 1 major holiday and 1 minor holiday.

Preferred Talent Assets:

2 years of call center, ambulance dispatch, medical secretary, or related experience

4 years in an administrative role supporting leaders and /or department

2 years experience in people and/or project management

Resilient, ability to handle a high volume of calls

Ability to communicate effectively in both written and verbal

Ability to be self directed, motivated, and sensitive to deadlines

Knowledge of basic computer functionality including Adobe and Microsoft Office (Word and Outlook).

High School diploma or equivalent
