Position Summary

Ensures proper flow of office procedures, in order to ensure organizational effectiveness, efficiency and safety. Responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control and office staff guidance and support.

Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

Essential Responsibilities:

Interacts with management and carries out their requests

Assist/back up coordinators and office staff daily, as needed

Responsible for developing standards and promoting activities that enhance operational procedures

Ensure office is operating smoothly and in a timely fashion

Perform office duties including typing, emailing, document scanning, photocopying, faxing, filing, etc.

Respond to client/customer inquiries

Develop and update administrative systems to make them more efficient

Special projects/tasks as assigned

Flexible and willing to work in response to emerging needs

Answer and direct phone calls

Skills/Qualifications:

Proven Associate Office Management experience preferred

Knowledge of Associate Office Management skills and procedures

Exceptional Communication and Customer Service skills

Excellent time Management skills

Strong attention to detail

Ability to work without supervision

Strong Prioritization and Organization Skills

Proficiency in Outlook and Microsoft Office (Excel/Word)

Detailed oriented, highly organized with ability to multi-task and set priorities

Excellent written and verbal skills

Telephone etiquette

Proactive and displays initiative

Self-driven and demonstrates the ability to thrive in fast paced environment
