Job Title: Admin Assistant/Payroll Specialist

Report to: President and Accountant-Senior

We are a small, growing CPA firm delivering efficient, effective and economical out-sourced accounting and Controller/Consultant solutions to small and medium sized businesses and non-profit organizations. Our work goes beyond entering transactions into accounting software. We work closely with organizations to help them use their financial information to make fully informed business management decisions.

The Entry-Level Administrative Assistant/Payroll Specialist will support the team by ensuring that the business processes are organized and efficient. The successful candidate will learn the practical application of accounting principles and apply that knowledge to help our clients manage their businesses better.

The successful applicant for this position will be detail-orientated, highly organized, proactive, and enjoy working with a small team environment. The desire to learn accounting concepts and to learn the impact of accounting on business management decisions is essential.

No prior accounting position required.

We have made significant adjustments to our work environment in response to Covid-19 to reduce unnecessary contact with coworkers and clients. Must be able to work significant hours at home, with remote support from other workers through remote communication.

Essential Duties and Responsibilities:

Process payroll for multiple clients

Prepare quarterly payroll tax returns

Record various client transactions into accounting software.

Prepare clients’ accounts payable checks.

Record clients’ deposits from information provided.

Reconcile clients’ bank and credit card accounts.

Assist in scanning client documentation

Perform ad-hoc client accounting duties as assigned.

Assist in assembling final tax returns.

Screens and directs incoming calls effectively with considerable use of tact, diplomacy and courtesy.

Partners with other staff to ensure constant coverage. Greets visitors and accommodate their needs as necessary.

Answer and direct phone calls and messages as necessary.

Manages schedule and appointment calendar(s) and maintains sensitivity to changing priorities.

Schedules all business travel and accommodations.

Performs ad hoc project-related duties as requested.

Provide onsite support for company events and meetings.

Maintain office supplies and equipment.

Traits/Attributes for the position:

Must have taken a college level Introduction to Accounting Principles with a minimum of 3.0 GPA.

Highly detail oriented and organize

Strong prioritization skills

Enjoys and works well working in small teams

Must be proactive and takes initiative

Enjoys working closely with clients to improve their businesses and solve their problems

Must be proficient in Excel and Word programs

Familiarity with general conceptual I.T. environment preferred
