Green and Spiegel US seeks a Legal Administrative Assistant in our Cleveland office, located in Shaker Heights, OH.

Responsibilities:

Provide general legal and administrative support to attorneys and staff.

Assemble immigration filings (including attorney signatures, checks, photographs, inserting original materials, etc.).

Maintain filing and organization systems for legal records, which includes calendaring relevant expiration dates, inputting and updating case management system and notifying legal team of important dates. Stay abreast of client filing deadlines, including visa and I-94 expirations, and RFE and other case-related deadlines. Generate monthly expiration reports for attorneys and legal support staff.

Handle incoming and outgoing mail and FedEx,and scan and distribute to the appropriate personnel.

Data entry for new matters in case management system.

Draft correspondence to clients and administrative agencies for attorney review.

Prepare Premium Processing Upgrades, EAD/AP applications, Withdrawal notifications, and other immigration case work as assigned.

Support attorneys and legal staff with copying, printing, and scanning of files and client documents.

Answer phones, direct calls, and receive messages.

Interact with clients and other visitors to office.

Liaise with service vendors.

Coordinate and confirm client appointments and outside engagements for attorneys.

Maintain office supplies inventory.

Make travel arrangements for attorneys as needed.

Coordinate maintenance and support of office equipment.

Serve as administrative liaison between GandS Midwest and other Firm offices.

Other duties as assigned.

Requirements:

Strong verbal, written, and organizational skills.

Willingness to take on added responsibilities and learn new things.

Ability to show initiative and work as part of a team.

Meticulous attention to detail.

Ability to multi-task and prioritize.

Proficient in Microsoft Office and ability to adapt quickly to firm-specific software.

Excellent time management skills.

Bachelor’s degree preferred.
