Duties

This position is responsible for providing administrative information and assistance to Division and/or Branch Chiefs and staff at Yellowstone National Park, on the practical and technical aspects of office administration, to include budgeting, acquisition, and property management, human resources, and other administrative support services, and to perform staff support work in each of these areas.Responsibilities

  • Provide accurate and reliable information on the administrative functions of the park
  • Budget responsibilities include collection of budget data for the unit's operating budget, consolidate material into an annual budget through worksheets or similar methods, and set up controls to monitor expenses during the year.
  • Serves as technical resource to unit personnel on travel policies, and regulations, and provides information on travel allowances and requirements.
  • Prepares travel authorizations and vouchers using automated systems and software for travel and voucher preparation.
  • Researches accounting problems such as erroneous payments, object class errors, unobligated commitments, and late payments and ensures corrections and /or adjustment documents are entered into the accounting systems.
  • Serves as adviser to the unit on procedures for the procurement of goods and services, and within delegated authority purchase supplies, equipment, and services for the unit utilizing a purchase card.
  • Assists with the preparation of position descriptions and organization charts, and prepares Requests for Personnel Action.
  • Serves as the primary timekeeper for the unit.
  • Serves as a liaison with the Servicing Human Resources Office (SHRO) and coordinates local orientation for new employees.
  • Serves as the primary administrative point of contact for the unit.
  • Develops and implements new systems or administrative processes to meet unit needs
  • Uses computers and appropriate software for data collection, analysis and collating.
  • Prepares reports, forms, and tabular material, providing proper spacing, heading and arrangement for ease of understanding and information processing.
  • Serves as unit's first line technical point of contact, providing limited technical support to end users.
  • Establishes and maintains office files (electronic or manual), including confidential and sensitive files, project files, and administrative material and regulations, reports, forms, etc.
  • Types and composes correspondence, memoranda, reports, work schedules, etc., from drafts or notes using word processing software and computer equipment.

Prior to your first official motor vehicle operation, and again every year thereafter (or more frequently if management determines such need exists), you will be required to sign an affidavit certifying to your possession of a valid State issued driver's license that is current and has not been revoked, suspended, canceled, or otherwise disqualified in any way to prohibit your operation of a motor vehicle. You will also submit a photocopy of your valid State issued driver's license prior to your first official motor vehicle operation, and again every year, or more frequently if management determines such need exists. Lastly, you may be required to submit (within a State sealed envelope or submitted directly by the State authorities), and at your own expense, all certified driving records from all States that discloses all valid driver's licenses, whether current or past, possessed by you. Please indicate in your application whether you possess a valid State driver's license.
  • You may be required to work on-call, evenings, weekends, holidays, overtime and shift work.
  • If you are a new employee in the Federal government, you will be required to complete a one-year probationary period.
  • You may be required to travel overnight away from home on occasion. You must obtain a government charge card for travel purposes.
  • You may be required to complete training and obtain/maintain a government charge card with travel and/or purchase authority.

Qualifications

To qualify for this position at the GS-07 grade level, you must possess at least one of the following minimum qualifications by close of the announcement:

EXPERIENCE: At least one full year of specialized experience comparable in scope and responsibility to the GS-06 grade level in the Federal service (obtained in either the public or private sectors). This experience includes activities such as: performing a wide variety of advanced administrative functions such as advising employees on payroll regulations and serving as payroll coordinator; serving as liaison with Human Resources by preparing and entering personnel actions, processing employee paperwork, and coordinating background investigations; serving as the technical advisor for travel processes and regulations; advising on procurement; and performing budget and financial management by collecting data for a budget, making recommendations, tracking expenditures, creating budgetary reports, and reconciling an organization's budget.

You must include hours per week worked. Please also specify the grade of any federal position.

Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

You must include months, years and hours per week worked to receive credit for your work and/or volunteer experience. One year of specialized experience is equivalent to 12 months at 40 hours per week. Part-time hours are prorated. You will not receive any credit for experience that does not indicate exact hours per week or is listed as "varies".
