ABOUT US: American Engineering Testing, Inc. (AET) specializes in geotechnical engineering, pavement engineering, environmental consulting, building technology consulting, construction materials design and testing, and petrographic/chemical analysis. DESCRIPTIONPerform support activities of the office including invoicing, accounts payable, project entry, employee time and expense entry, document preparation and distribution, client contact and other duties as directed.

ESSENTIAL DUTIES AND RESPONSIBILITIESReasonable accommodations or workable solutions may be made to enable individuals with disabilities to perform essential functions.Accurately, efficiently and aesthetically prepare reports, letters, rough drafts, memos and other correspondence required by assigned personnel from a disk or handwritten notes.Proofread to ensure accuracy, formatting, spelling and grammar and correctness of content.Assure all reports and letters are prepared in accordance with established policy.Assemble, print, bind and distribute proposals, reports, memos and other correspondence as directed and in a timely manner.Answer incoming telephone calls and screen such calls for proper routing.Assist in ordering supplies for department as needed.Operate all office equipment as necessary in the preparation and distribution of work.Assist with the preparation of test boring logs and laboratory test results.Assist with receptionist duties, as necessary.

OTHER AREAS OF ACCOUNTABILITYConduct field, laboratory and office activities in a manner consistent with federal, state, and local regulations, along with AETs QA andHealth and Safety Policies, to promote the safety and protection of employees, clients and the public.Comply with the rules and policies of the company and the support staff.Provide support for business accounting tasks.Participate in company teams and focus groups to improve the overall performance of the company.Assist other personnel as priorities and deadlines dictate and/or allow.Perform other tasks as necessary to meet departmental or company goals.

REQUIRED EDUCATION AND EXPERIENCEHigh school diploma or equivalent and 1-2 years office clerical experience; ORPost-high school education and 0-1 year of office clerical or customer service experience.

KNOWLEDGE, SKILLS, AND ABILITIESAccurately type 60 wpm using word processing software.Communication skills sufficient to work effectively with clients and coworkers.Proficient use of Microsoft Word, Excel and other software that is necessary to assure accurate and timely performance of duties.Ability to organize and prioritize work to meet time requirements and ensure productive use of available working hours.Ability to question and/or correct errors in grammar, spelling, punctuation, or content of typed materials.Ability to use discretion in giving out information to visitors, telephone callers and personnel.Ability to maintain confidentiality of clients, projects, payroll and financial data.Ability to perform job duties with occasional disruptions (i.e. phone, clients, staff, etc.).Experience in responding to incoming telephone calls, routing calls, and taking accurate and timely messages.Experience in establishing and maintaining accurate filing systems (electronic and paper).Experience using office equipment, such as copiers and scanners.Basic skill in math to verify computations, invoices, etc.
