Project Assistant Summary: Provide administrative support for engineering and testing service projects. Acts as administrative support back up for operations management. Responsibilities: Provide information to outside callers, clients, prospects and internal employees. Coordinate meetings, lunches, seminars, travel and conferences including all logistical arrangements, attendance controls and related follow-ups. Prepare reports, letters, memos, testing reports and other typed documents for staff. Information will be provided in various methods, which will require applicant to perform transcription, typing and/or reformatting of information. Proo and edit internal and external documents and correspondence. Prepare said documents as final and prepare for transmitting. Also prepare and maintain various presentations, forms, signs or flyers, and other statistical reports as deemed appropriate. Generate, or compile and prepare weekly and monthly reports using MetaField and Excel, to be used internally or sent to clients. Coordinate workflow of department in conjunction with other administrative assistants to ensure deadlines are met. Also provides back-up support to other administrative staff, including reception and copy center personnel. Perform data entry into various internal systems including project management software, HoleBase, etc. File and retrieve departmental and project reports and materials. Vendor invoice coordination, including purchaser review/approval, coding and submission to Finance. Provide assistance in organizing various internal initiatives related to safety, quality and training. Participate in weekly staff meetings and produce meeting minutes. Work to maintain a positive office and help organize events like office gatherings and outside work events. Running errands for various department and project related items. Order department supplies. Project archiving. Other duties as assigned. Minimum Experience and Education: High School degree and 1-5 years' experience required. Skills: Excellent typing and data entry skills. Strong administrative skills and experience using basic computer applications and software including MS Office. MS Dynamics AX or similar experience a plus. Demonstrated ability to organize and prioritize multiple projects and tasks efficiently and simultaneously. Basic problem-solving and math skills. Excellent customer service skills. Positive attitude, creative and like to have fun at work. Enjoy organizing events. Adapt to changing priorities and initiatives and prioritize workload. Individual must possess the ability to read and comprehend simple instructions, correspondence, and memos. Individual must have strong verbal and written communication skills in order to communicate with a variety of staff and management. Individual must possess the ability to apply common sense and understanding to carry out written or oral instructions. Must possess the ability to deal with problems involving a few concrete variables in standardized situations.
