Here you'll find support to develop, united in a clear and common purpose with a diverse team.About the RoleThe Federal Reserve Bank of Kansas City is seeking an Administrative Assistant to join our Treasury Services Division organization.As a member of our team, you will provide administrative support to division Officers and other staff including calendar management, coordinating travel arrangements, meeting coordination, event planning support, preparing, reviewing, and editing documents, and completing basic projects of routine to moderate complexity.Our Administrative Assistants work in an environment that requires a high degree of attention to detail, cooperation, and professionalism. You must be able to handle confidential material and use good judgement when working with and communicating information related to various Treasury Business Lines, as well as anything regarding System, Board of Governors, and the Bureau of Fiscal Service.To be successful in this position you must possess great customer service, interpersonal communication, and organizational skills. This position will require you to be based in Kansas City, but we do offer some work from home flexibility. Key Activities:

  • Maintain and/or monitor electronic calendar(s), deadlines, and appointments for Officers.
  • Respond to telephone inquiries for management when appropriate or refer calls to the appropriate staff or management member.
  • Prepare letters, memoranda, presentations, and reports, as well as revisions to these types of documents.
  • Purchase and manage inventory of supplies.
  • Manage purchasing card expenditures and timely reconciliations.
  • Make travel arrangements for Officers, as well as incoming support for System or external guests to include arranging for hotel accommodations, car rental, airline reservations, and/or other transportation, and filing paperwork for reimbursement, when appropriate.
  • Serve as primary coordinator host for meetings for Officer and the Division, including, but not limited to, making conference room reservations, dining requests, and providing assistance during meetings.
  • Submit requests for guest access (Fiscal Service and others, as needed).
  • Organize and maintain files of department correspondence and documents.
  • Serve as highly accomplished resource for dept. units by proofreading documents for proper Bank style, grammar, punctuation, spelling, and formatting, as well as recommending related improvements to written communications.
  • Develop basic reports and complete projects of average to moderate complexity and priority.
  • May update and/or maintain information sharing websites and other communication mediums (e.g. Teams, newsletters, video screens, etc.).
  • Provide back-up support for other administrative assistants as needed and trains less experienced staff on administrative responsibilities.
Qualifications:
  • Three to five years of administrative assistant experience preferred.
  • High school diploma or equivalent.
  • Incumbent must be fully vaccinated against COVID-19, unless the Bank grants an accommodation based on a medical condition or sincerely held religious belief.
  • Proficient computer skills including Microsoft Word, Excel, PowerPoint, Teams, various internet applications, and email applications.
  • Strong interpersonal skills including the ability to interact with high profile public contacts and/or external customers.
  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • Excellent attention to detail.
  • Highly accomplished organizational skills.
  • Excellent time management skills.
  • Basic project management skills and analytical skills preferred.
