For more information, please visit our website: http://www.grifols.comPosition Overview:The “Export Logistics Specialist” prepares export orders and related shipping documentation for the assigned regional international territory for the International Customer Service group. Knowledge of U.S. government Laws & Regulations and associated compliance is required to ensure accuracy of shipment document preparation. The Specialist is expected to understand business context of assignments as well as be able to detect and anticipate problems. The Specialist must be able to make decisions independently, but within a well-defined area. The position calls for a detailed oriented person who can work well with internal and external contacts in a professional manner. Specialist at this capacity may need to participate in meetings or on conference calls before or after hours, due to the global time difference of the assigned regional territory. The position requires the ability to balance daily order processing activities with the required participation in meetings when scheduled.Responsibilities include, but are not limited to the following:Prepare export orders and related shipping documentation and backs up co-workers during vacations and unscheduled absences

Stay constantly informed of all pertinent changes in foreign export/import regulations and procedures to ensure prompt clearance of Grifols export shipments by customs authorities in receiving countries

Work with department manager and/or supervisor to help monitor with freight forwarders, airlines and steamship companies the lowest possible transportation costs, improve delivery schedules and engage space, as needed through air and ocean management contracts. Select freight forwarders who will assist Grifols in maintaining an acceptable balance between economical rates and excellent service

Handle emergency customer request including lifesaving shipment by expediting orders and coordinating the efforts of appropriate departments for positive and expeditious handling

Prepare proforma invoices for international customers as requested utilizing pertinent pricing categories such as, transfer pricing; export pricing; Federal Government pricing and various terms of sale

Prioritize and processes all in-house standard shipping orders (no charge shipments) including dry ice and hazardous materials. Ensures compliance with IATA Dangerous Goods Regulations

Ensure preparation of accurate freight cost estimates for incorporation into outgoing bids, quotations, and preparation of pro-forma invoices for international customers

Communicate with foreign consulates for document legalization

Communicate to customers, product specification data, shipping arrangements, order status, and insurance claims

Seek guidance from department manager and/or supervisor to establish and implement contingency plans for unusual situations such as shipping industry strikes

Collaborate with department manager and/or supervisor and the Allocations Specialist to ensure arrangements for special product labeling stickers to meet requirements of foreign governments as specified in tenders, letters of credit, and orders

Advise area sales managers regarding significant delays in shipments when product availability is a problem and assist in resolving the difficulty

Co-ordinate with other departments to solve problems, which might delay, prompt shipment or otherwise compromise service to the customer

Maintain country information manuals with information on parcel post, ocean freight, and airfreight shipment to all countries where Division is active. Maintains and updates details of all functions in relation to preparation of preliminary export orders, commercial invoices, preparation of shipping documents, and special forms needed for processing of air freight, ocean freight, parcel post, truck, and special Parcel Service shipments to all countries

Audit freight invoices for services received from trucking and air/ocean freight forwarders based on negotiated rate tariff

Communicate with ex-U.S. customers and legal entities on all matters regarding forecast, product availability, and order processing.

Participate in training sessions, seminars, meetings, etc. associated with Export Compliance

2 years of work experience in a customer service and export shipping environment or 7-10 years of applicable business experience

Ability to work with automated customer service and sales systems, including database systems, is essential

Knowledge of US Customs / Department of Commerce export regulatory law is required

Excellent interpersonal and communications skills in a marketing and sales environment are necessary

Work is performed in an office environment with exposure to electrical office equipment. Frequently sits for 6-8 hours per day. Frequent hand movement of both hands with the ability to make fast, simple, movements of the fingers, hands, and wrists. Occasionally walks and stands. Occasionally bends and twists neck. Light to moderate lifting and carrying objects with a maximum lift of 25lbs. Frequently drives to site locations with occasional travel within the United States. Able to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken and written words and sentences.
