Responsibilities

  • Processes all new and used vehicles for registration in the state in which they will be titled.
  • Prepares tax and title documents.
  • Promptly submits all contracts and drafts to proper lending institution for payment.
  • Submits all legal transfer work to the Department of Motor Vehicles.
  • Verifies that funds have been collected and the correct lien holder paid off before processing title applications.
  • Checks for accuracy in the application and ensures that all information is complete.
  • Bills out all dealer trades and prepares Certificates of Origin & Maintains a system to verify out-of-state titles.
  • Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller on a weekly basis.
  • Receipts in all payments received from wholesalers
  • Signs over titles for all wholesalers who have paid in full. Prepares a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.
  • Prepares packets for trade-in vehicles.
  • Assists with all Cashier duties: Reconciles cash drawer daily, Balance cashier reports at end of day.
  • Maintain a log of all contracts and title work processed and mailed.
  • Processes yearly renewal of dealer tags in conjunction with comptroller.
  • Stays abreast of title regulations. Attends seminars held by local licensing bureaus and any available training on title regulations.
  • Cross-trains others to handle title clerk daily responsibilities.
  • Conducts periodic training sessions for F&I managers and sales personnel regarding title regulations and procedures and issues a written memo to managers and all sales personnel whenever regulations change.
  • Make daily run to bank/credit union and county title clerk.
  • Assist in answering incoming phone calls.
  • Maintains a professional appearance and a neat work area.
  • Post all vehicle sales on a daily basis.
  • Uses documents such as sales slips, invoices, receipts, check stubs, and computer printouts to verify, allocate, and post details of business transactions to subsidiary accounts in appropriate ledgers or computer files.
  • Completes records to trial balance, Calculates commissions and bonuses for the salespeople.
  • Receives cash, checks and credit card payments from customers; records amount received.
  • Communicates cash requirements for all payoffs to the office manager.
  • Prepares payoff checks for trade-ins, Payoff flooring on a daily basis.
  • Posts all EFT to accounts on daily basis.
  • Reconciles all Dealer Payment, Vincent, and Finance Reserve statements.
  • Reconciles and submits all Extended Service, Life Insurance, Tire, and Gap Contracts.
  • Post in all New, Program and Purchased vehicles into inventory.
  • Complete Assignment of Proceeds on all qualifying fleet deals.
  • Post all incoming and outgoing Dealer Trades.
  • Assist in answering incoming phone calls and with all Cashier duties.
  • Provides clerical and secretarial assistance to departments as needed.
  • Cross-trains others for this position as directed by management.
  • Maintains a professional appearance and a neat work area.
  • Fills in for other administrative positions as needed and directed by management.

Qualifications

  • Previous automotive dealership experience preferred.

  • Must be accurate with regard to math and numbers.
  • The individual must also have a valid driver’s license and the ability to be insured under Fremont’s insurance plan.
