Village Green Townehouses (VGT) Inc. is an established co-operative townhouse campus located in the heart of Omaha near some of Omaha’s best attractions – Omaha Zoo, Lauritzen Gardens, and the Old Market. The campus has nearly 200 townhouse units with a vibrant owner community living on a spacious and beautiful campus offering green space, on-site parking, recreational playgrounds, on-site waste and recycle disposal, on-site VGT office, community room, annual community events and activities and maintenance facilities.
VGT is recruiting for a full-time Property / Office Manager to lead the day-to-day management of the VGT campus including management of the VGT property, office and maintenance team.
Position is full-time - Monday-Friday, 8 a.m. to 5 p.m. OT and/or weekend hours required on an as needed basis. Market-based compensation package to also include benefits i.e. health, life, STD, LTD, Simplified Employee Pension Plan (SEP), and Paid Time Off (Holidays/Sick/Vacation).
Specific Key Duties Include:
Manage day-to-day business operations of the campus to include supervision of office operations, administration and finances, maintenance operations to include supervision and direction of all maintenance staff for standard maintenance (plumbing, carpentry, basic electric, basic repairs, painting, etc.), and provide oversight and direction of campus grounds maintenance and prescribed townhouse interior updates and/or upgrades as needed/requested
Manage the townhouse (unit) sale/purchase process and facilitate completion of the move-in and move-out checklist audit including follow through on unit maintenance and/or updates if/as needed
Provide updates to VGT Board as needed. Attend VGT Board meetings as required providing verbal updates on administration, campus projects, maintenance projects, etc. Partners with VGT Board Executive Team to problem solve open items as needed
Provides day-to-day customer service support to VGT owners i.e. fielding questions, solving problems, and initiating appropriate decision(s) and/or action(s) in compliance with VGT By-Laws and Regulations
Provide day-to-day coaching and management of the office operations, finance function and maintenance function to include office workflow, job assignments, schedule assignments, performance management feedback and annual reviews, annual merit considerations, and training and development
Manage maintenance staff to ensures maintenance equipment, tools and vehicles are “work ready” and maintenance shop and work area are clean and professional in appearance
Manage, document and direct maintenance work order tracking system providing direction to lead maintenance worker. Oversee and provide monthly report to Board on completion of open orders/requests using automated toolkit
Accountable for all property maintenance tools, equipment, vehicle(s), supplies, parts, property, etc. and performs annual audit of condition of property and inventory. Approves maintenance purchases in accordance with budget and orders and secures parts and supplies to maintain “work ready” shop inventory
Manage and coordinate vendors and/or contractors to proactively complete campus sustainability projects consistent with the VGT annual business plan and as prioritized and directed by the VGT Board, i.e. landscaping, parking surface updates, water line repairs, fence repairs, etc. Solicit bids and pricing from vendor/contractor as appropriate. Accountable for project launch and oversight providing monthly (or as needed) updates to VGT Board. Cultivate vendor/contractor relationships to develop and maintain “preferred vendor/contractor list” for quality outcomes and workflow continuity
Adheres to Federal and State regulations i.e. OSHA, Workers’ Compensation, etc. for employee files and workplace environment. Champions and maintains “safety first” work culture setting example for Maintenance team in safe working practices and procedures.
Develops (as needed) and maintains VGT website maximizing software tool to facilitate routine or “just in time” announcements, financial updates, monthly newsletter publication, VGT Board updates, etc. Relatedly, composes and posts monthly VGT newsletter
Performs “after hours” emergency or non-emergency support if/as needed
Performs other duties as assigned
Background Requirements:
Associates Degree or Higher in Related Field is Required
Two (2) Years Previous Office Management or Related Experience is Required
Up to Five (5) Years Supervisory Experience is Required. Previous Experience in Property and/or Maintenance Industry to Include Fundamentals of plumbing, carpentry, drywall, basic electrical, machine maintenance and general maintenance is a Plus
Residential/Condo/Apartment Facility Management Experience is a Plus
Demonstrated Basic PC Skills i.e. Microsoft Office, QuickBooks, Timekeeping, Maintenance Task Tracking, etc.
Valid Driver’s License and Proof of Valid Car Insurance Required
