Santa Barbara leading property management company is searching for a full-time Commercial Property Manager. Duties to include but not limited to managing an assigned portfolio of commercial units where management function would include but not be limited to marketing and renting, authorizing and scheduling repair and maintenance, owner communication, triple net (NNN) administration, lease renewal negotiations, and overall lease administration.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Photograph properties for marketing materials and advertise when rental becomes available through Rent Manager marketing platform, Craigslist, signage, etc. and update receptionist with information “leased / available” for internal listings and website.

Show properties to prospective tenants, process applications and credit reports, negotiate and execute commercial leases, and create and maintain tenant files, update Rent Manager with new tenant information and provide bookkeeper with funds and tenant names for new rental. Develop and maintain a working relationship with the tenants.

Contact tenant if rent is not paid on time/ serve notice if necessary and advise bookkeepers accordingly.

Attend weekly manager meeting, keep accurate notes of ALL properties Sierra manages and communicate any specific activity on a property.

Develop and maintain a working relationship with the owners of assigned portfolio, communicate regarding costs, projects and advise owners about prevailing rental rates and similar available properties and maintain as instructed by the President of the corporation or the Director of Operations. Maintain the Property Files that tracks history, expenses and communications in Rent Manager.

Schedule maintenance and improvements as needed by creating maintenance service requests in Rent Manager, contacting vendors for repair, following up with tenant, contacting owner with cost/ repair information, verifying that assigned vendor projects are completed and visiting portfolio properties at minimum once a month.

Schedule yearly inspection, complete inspection report & follow up with scheduling any issues or repairs.

Process invoices on property repairs.

Photograph properties for move-in/move-out documentation.

Log Move Out information and copy bookkeeper.

Schedule initial inspection for move-out and after property has been vacated complete “move-out” inspection.

Schedule turn-over painting, cleaning and repairs and schedule transfer of utilities for clean & show.

Process move-out paperwork within 21 day guidelines.

KNOWLEDGE and SKILL:

Strong understanding of commercial leases and AIR type leases

Ability to reconcile NNN lease accounting

Ability to demonstrate strong customer service tendencies

Competent in MS Office Products (Word, Excel, Outlook) and efficient in email and internet application

Demonstrated problem solving and people skills

Knowledge of principles and methods for showing, promoting, and selling products or services including marketing strategy and tactics

High accuracy in work and attention to detail

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records

Proven oral and written skills

Knowledge of basic math and pro-rations

Ability to drive a vehicle

PHYSICAL DEMANDS:

Sitting for long periods of time

Frequent alpha/numeric keyboarding and ability to view computer monitor

Oral communication over phone and in person

Driving a car

Climbing stairs and walking on uneven ground

Lifting up to 10 pounds
